Position Overview: We are looking for a highly skilled and motivated Event Coordinator to join our team in Phoenix, Arizona. In this role, you will be responsible for coordinating and executing a variety of events, such as Best of the Capitol, Leaders of the Year, and Women Achievers in Arizona, as well as supporting and executing events across our 12-state footprint. The ideal candidate will have excellent organizational skills, a keen attention to detail, and the ability to manage multiple projects simultaneously.

Key Responsibilities:

  • Plan, organize, and execute events from inception to completion, including venue selection, vendor coordination, budgeting, and logistics.
  • Collaborate with internal teams and external partners to ensure all event details align with State Affairs' objectives and branding.
  • Develop and maintain event timelines, ensuring that all tasks are completed on schedule.
  • Coordinate marketing and promotional activities with the marketing team to drive event attendance and engagement.
  • Oversee on-site event operations, including setup, registration, attendee coordination, and post-event breakdown.
  • Conduct post-event evaluations and generate reports, including feedback from sponsors, partners, and attendees.
  • Travel as needed to various locations within the 12-state footprint to oversee event execution.
  • Build and maintain relationships with key stakeholders, including sponsors, vendors, and partners.
  • Manage event budgets, negotiate contracts, and ensure cost-effectiveness while maintaining high-quality standards.
  • Ensure all events comply with legal, health, and safety regulations.

Qualifications:

Required:

  • Bachelor's degree in Event Management, Marketing, Communications, or a related field.
  • Minimum of 2 years of experience in event coordination, event planning, or a related role.
  • Proven ability to manage and execute events of varying sizes and complexity successfully.
  • Excellent organizational and multitasking skills, with the ability to manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, capable of building relationships and collaborating with diverse teams.
  • Proficiency in event management software and tools.
  • Willingness to travel within the 12-state footprint as required.
  • Flexibility to work evenings and weekends as necessary based on event schedules.
  • Detail-oriented with strong problem-solving abilities and a creative mindset.
  • Ability to work effectively under pressure and adapt to changing circumstances.
