The State of Minnesota is committed to equity and inclusion, and invests in employees by providing benefits, support resources, and training and development opportunities.Job SummaryPosition PurposeThe event Coordinator organizes and pulls together all logistical planning for special events occurring at the Regional Sports Facilities, the Regional Stadium/Bubble, and other locations throughout campus serving as a point of contact for internal and external customers from initial inquiry through event execution. This position oversees the accurate processing of facility use agreements and account invoicing and maintains accurate records of usage and rental revenues. This position also facilitates reservations using the event management system (EMS) software and is the designated, on-site coordinator of evening and weekend events.Responsibilities and ResultsPromote college event services and venues to potential users for events ranging in size and complexity from small single-day events to large multi-day events. Coordinate the event scheduling process, including assessing client needs regarding space rental, event setup, audio/visual equipment, etc. for both internal and external users. Meet with customers to showcase facilities, negotiate terms, and process facility use agreements, ensure insurance requirements are met, and coordinate account invoicing for external clients. Ensure venue readiness and successful execution of event services.Provide support and coordination for scheduled events at the Regional Sports Center and the Regional Stadium/Bubble. Act as a site-lead for events and scheduled work study staff.Work with Business Office to balance and reconcile accounts and solve any scheduling or billing issues. Prepare reports and compile data relative to the reservations of venues as requested. Conduct customer survey and utilization reports to be used to better understand overall customer satisfaction and utilization. Prepare for, attend, and participate in regularly scheduled facility event meetings.Monitor use of the venue equipment and ensure it is in proper condition for use. Gather information and assist director in preparing reports for equipment and other budgetary needs to be presented as needed.
