CAMP is part of the Hearst Transportation Division.We are located in Merrimack, NH - an hour from Boston, and a half hour from the Massachusetts tech corridor .Job SummaryThe Event Coordinator is responsible for planning, organizing, and managing all aspects of trade shows, conferences, and other corporate events. The person in this role must be able to manage multiple projects, develop relationships with vendors, and ensure that all event activities are handled in a timely manner. The ideal candidate will be a key point of contact for employees and vendors during events. The Event Coordinator must handle day-to-day administration of events, ultimately, being responsible for ensuring the success of all corporate events.ResponsibilitiesOwning every aspect of events, from venue choices to success metricsPlanning, organizing, and managing eventsNegotiating, contracting, and coordinating with vendors and suppliersCoordinating, registering, and managing employees assigned to eventsProviding guidance, answering inquiries, and resolving problems before and during eventsBooking venues, securing booth selections, and coordinating the logistical requirements such as equipment rentals, IT, and catering servicesArranging transportation and lodging for attendeesManaging budgets, payments, and invoicesManaging promotions, communications, and branding aspects of eventsCoordinating with other members of the marketing team to ensure all promotional materials (booth design, signage, etc.) are preparedCollaborating with internal teams to develop event strategies, objectives, and key messages to effectively represent company and offeringsCoordinating the logistics of event materials and equipment including taking inventory, ordering, and shippingOverseeing setup, execution, and breakdown of eventsMaintaining tracking of upcoming events, ensuring timely registration, and submission of required materialsConducting post-event analysis and preparing reports and presentationsRequirementsBachelor's degree or equivalent experience in Hospitality, Meeting and Event Planning, Business Administration, Marketing and Communications, or related field1-3 years' experience event planning and coordination in a corporate environmentStrong attention to detail and excellent organizational, communication, negotiating, and multitasking skillsKnowledge of digital event promotion tools such as social media channels is a plusVirtual meeting planning experience is a plusAble to adapt to a changing environment and fluctuating deadlines and respond accordinglyCAMP is committed to creating a diverse environment and is proud to be an affirmative action and equal opportunity employer.
