Job Summary

The Event Coordinator is responsible for planning, organizing, and managing all aspects of trade shows, conferences, and other corporate events. The person in this role must be able to manage multiple projects, develop relationships with vendors, and ensure that all event activities are handled in a timely manner. The ideal candidate will be a key point of contact for employees and vendors during events. The Event Coordinator must handle day-to-day administration of events, ultimately, being responsible for ensuring the success of all corporate events.

Responsibilities

* Owning every aspect of events, from venue choices to success metrics

* Planning, organizing, and managing events

* Negotiating, contracting, and coordinating with vendors and suppliers

* Coordinating, registering, and managing employees assigned to events

* Providing guidance, answering inquiries, and resolving problems before and during events

* Booking venues, securing booth selections, and coordinating the logistical requirements such as equipment rentals, IT, and catering services

* Arranging transportation and lodging for attendees

* Managing budgets, payments, and invoices

* Managing promotions, communications, and branding aspects of events

* Coordinating with other members of the marketing team to ensure all promotional materials (booth design, signage, etc.) are prepared

* Collaborating with internal teams to develop event strategies, objectives, and key messages to effectively represent company and offerings

* Coordinating the logistics of event materials and equipment including taking inventory, ordering, and shipping

* Overseeing setup, execution, and breakdown of events

* Maintaining tracking of upcoming events, ensuring timely registration, and submission of required materials

* Conducting post-event analysis and preparing reports and presentations

Requirements

* Bachelor's degree or equivalent experience in Hospitality, Meeting and Event Planning, Business Administration, Marketing and Communications, or related field

* 1-3 years' experience event planning and coordination in a corporate environment

* Strong attention to detail and excellent organizational, communication, negotiating, and multitasking skills

* Knowledge of digital event promotion tools such as social media channels is a plus

* Virtual meeting planning experience is a plus

* Able to adapt to a changing environment and fluctuating deadlines and respond accordingly
