Job Description
Event Coordinator
Reporting to the Executive Director of University Events, the Event Coordinator is responsible for providing event scheduling and planning assistance to the university. This includes representing the office, making room reservations, coordinating event logistics, supporting events onsite, and managing inventory. Collaboration with multiple offices and organizations on campus, both students and faculty, will be required. The position will require working some evenings and weekends as needed.
Essential Responsibilities: Responsibilities include but are not limited to the following:
* Respond to all phone calls, emails, and walk-ins for basic room reservations that pertain to the University Center Complex (UCC)
* Review and confirm all basic reservations for UCC as submitted through the online Event Management System (EMS)
* Serve as the event manager for small to medium-sized events as needed, including but not limited to luncheons, dinners, receptions, conferences, BBQs, etc.
* Work with the Assistant Director of University Events on the management of the UCC event spaces and equipment/furniture inventory for that building
* Serve as a resource for audio/visual needs at meetings and events in UCC
* Support the events team in larger events as needed and in all campus-wide events (such as Alumni Weekend, Commencement, Convocation, etc.)
Required qualifications: The successful candidate will be detail-oriented and organized with the ability to enthusiastically approach new projects and manage multiple tasks simultaneously. Candidates should possess the following qualifications:
* Bachelor's degree, or an equivalent combination of education/training and experience
* 3 years of events or event planning experience, preferred
* Working knowledge of EMS is a plus
* Ability to manage multiple projects in a fast-paced environment
* Ability to work effectively within a team environment as well as independently
* Must have professional verbal and written communication skills, and the ability to interact with all members of the Stevens community and visitors in a professional manner.
Knowledge and Skills: Strong interpersonal skills with the ability to deal with challenging situations in a diplomatic and calm manner, maintaining a positive customer service orientation at all times. Proficiency in Microsoft Word, Excel, PowerPoint, and the willingness to learn new technologies as needed.
