Position Overview

The Branson Chamber of Commerce and CVB is seeking a highly organized, detail-oriented, and enthusiastic Event Coordinator to plan, execute, and manage a variety of events that promote Branson as a premier destination for tourism, business, and community engagement. The ideal candidate will work collaboratively with internal teams, community partners, and local businesses to ensure successful event planning and execution.

Key Responsibilities

Event Planning and Coordination

  • Plan, organize, and execute events, including but not limited to monthly Chamber events, community festivals, tourism conferences, networking events, and trade shows.
  • Coordinate logistics such as venue selection, vendor management, catering, entertainment, décor, audio visual and event timelines.
  • Develop event budgets and ensure all events are executed within budgetary guidelines.
  • Create and manage detailed event project plans, including timelines, checklists, and contingency plans.

Stakeholder and Partner Engagement

  • Serve as the primary point of contact for sponsors, vendors, and community partners involved in events.
  • Foster strong relationships with local businesses, tourism stakeholders, and city officials to promote collaboration and support.
  • Ensure key stakeholder's agreements and needs are met.

Marketing and Communication

  • Collaborate with the marketing team to develop and schedule promotional materials, social media campaigns, and MSA's for events.
  • Ensure consistent branding and messaging across all event-related communications.
  • Provide on-site support and manage event-day operations, including setup, breakdown, and addressing attendee inquiries.

Post-Event Evaluation

  • Conduct post-event evaluations to assess success and gather feedback from attendees and stakeholders.

Prepare detailed reports summarizing event outcomes, including attendance, revenue, and areas for improvement.

Qualifications

Education and Experience

  • Bachelor's degree in Event Management, Event Planning, Hospitality, or a related field (or equivalent experience).
  • Minimum of 2-3 years of experience in event coordination, hospitality, or tourism.
  • Experience working with chambers of commerce, CVBs, or similar organizations is a plus.

Certifications (Preferred but Not Required)

  • Certified Meeting Professional (CMP) or similar event-related certification.

Skills and Abilities

  • Strong organizational and project management skills, with the ability to multitask and meet deadlines.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Ability to work well under pressure and meet deadlines.
  • Proficiency in event management software, Microsoft Office Suite, and social media platforms.
  • Ability to work flexible hours, including evenings and weekends, as required by events.
  • A customer-focused mindset with problem-solving abilities, a heart for hospitality and a keen eye for detail.
