The Event Director works behind the scenes, planning and supervising to ensure the event is executed successfully. The Event Director is the on-site point of contact for the client and the venue.JOB DUTIESKey Accountabilities: Plan, prepare and successfully execute full-service events.• Responsible for meeting with the Sales Consultant and Project Manager to ensure a complete understanding of all aspects and logistics of the event.• Produce in-house equipment pull sheet for the event.• Develop an event plan based on the venue, set-up time, and staffing allotted.• Ensure all equipment and food are accounted for and loaded on the truck.• Drive company vehicles safely to and from events.• Handle event binder and all necessary paperwork.• Manage communication between our team and the venue, client, and third-party agencies.• Ensure that all scheduled staff arrive on time and in proper work attire.• Supervise the efficient load in and load out of company vehicles.• Ensure that the rental equipment and linens are present and accurate as per event rental orders.• Ensure that the dining area is set up according to the predetermined layout and looks professional and attractive.• Supervise the inventory of liquor, ice, and condiments for the bar.• Actively communicate with the Chef and culinary staff, ensuring that the food timeline is followed and assistance is given when needed.• Lead pre-event meetings with the event team addressing company policies, last-minute changes, event flow, and any concerns and issues.• Uphold a positive and professional attitude at all times.• Assure the timeline is maintained and followed.• Manage bartenders, and follow policies set forth by the company and state laws.• Manage captains, servers, and porters following company procedures and policies.• Ensure that the truck is packed correctly and that equipment is secured.• Release staff at times listed on the sign-in sheet.• Complete the sign-in sheet and event recap sheet post-event.Position Requirements Performance Standards
- Event Director roles are expected to be carried out with little or no direct supervision and with timely communication
- Must follow a weekly schedule created by the Staffing Coordinator and Director of Operations
- Must transfer codes when working in different departments
- Must be able to multi-task and plan several events simultaneously
- Ability to work well with internal and external participants is essential
- Must communicate clearly and effectively with staff, managers, and clients
- Must be proficient in the use of technology
