Longwood University invites qualified applicants to apply for the position of Event Manager (GA344) in University Events and Ceremonies. The Event Manager will coordinate all aspects of administrative and logistical support for the scheduling and implementing of the University's events, ceremonies and conferences. University Events and Ceremonies (UE&C) is searching for an enthusiastic individual who is looking to ensure that all event operations are carried out professionally, to standards and at the highest level of service. Results, accuracy, integrity and teamwork are important for success in this position.
RESPONSIBILITIES:
* Plans, manages and coordinates university events as assigned such as: conferences, signature events, presidential events, advancement events and assists with university ceremonies (Convocation, Commencement, etc., as needed)
* Provides solutions for client's last-minute needs, occasionally under high-pressure circumstances
* Spends a portion of their professional development researching other university event departments and conference centers in order to keep abreast of effective operations and best practices
* Assists with university and external event scheduling using 25Live, AllSeated, and Asset Essentials work order system
* Aids the Assistant Director of University Events and Ceremonies with other tasks or duties as assigned
* Works cohesively with staff members in the office while providing the best customer service to internal and external clients
* Assists in scheduling all activities on campus for both internal and external clients
* Inputs reservation details into 25Live database to plan events as requested by faculty, staff, students and external customers, including reserving Longwood space, property and staffing
* Exceptional customer service skills needed to interact effectively with students, faculty, staff, parents, vendors, Vice Presidents, President and general public
Job Requirements:
* 1+ years of event management or 2+ years of project management experience required
* Customer service and/or client relations experience required
* Bachelor's degree or equivalent combination of work experience and/or training
* Strong organizational skills, planning skills, computer skills, sales/marketing skills, and interpersonal skills
* Ability to work efficiently in a fast-paced environment
* Ability to deal with the public in a courteous and effective manner
* Ability to adhere to the university standards for response times and deadlines
* Possess well-developed project and budget management skills
* Eye for detail & attention to delivering high quality events; anticipates project needs & proactively delivers
* Builds solid and reciprocal relationships with designated client contacts, campus partners and vendors
* Fosters trust and open/honest communication with the internal team and partners
* Ability to prioritize and manage multiple tasks/projects
* Ability to work independently without supervision, be self-directed and demonstrate initiative
* Ability to work collaboratively with others for whom you have no direct supervisory authority
* Strong teamwork and team synergy skills
* Exhibit good judgment and decision-making skills
* Willingness to work a flexible schedule based on the changing priorities of the department
* Previous experience in event coordination/planning, event production management, conferences, hospitality management or similar experience in a higher education or corporate setting preferred
* Ability to safely carry 20-30 pounds
* Working knowledge of Microsoft Office including Word, Excel and database management
* Ability to prioritize work with minimal supervision
* Experience with 25Live & Asset Essentials work order system preferred
* Strong verbal and written communication skills
* Supervisory experience preferred
* Valid driver's license
