About the Role As the Event Coordinator, your contribution to the organization will be to support the delivery of an exceptional guest experience at established financial margins for your team's portion of assigned events. You will assist with a variety of processes during the planning, on-site execution, and post event debrief. You will also work collaboratively to support overall initiatives to deliver exceptional guest experiences at all events globally. Your role will be on a team focused on one of two key functions:
  • Hospitality (food and beverage, branding, production, talent appearances, etc.)
  • Logistics (ticketing and fulfillment, transportation, hotels, travel, tours, etc.)

Reports to: Event Manager (Logistics) Core Responsibilities Event & Guest Experience Management
  • Support planning and on-site execution of 12+ events annually (200-12,000 guests).
  • Manage event elements like ticketing, guest orders, scheduling, and vendor coordination.
  • Collaborate with internal teams for graphic assets and guest communication.
  • Build and document event plans, ensuring a smooth guest experience.
On-Site Responsibilities
  • Oversee vendors, equipment, and space setups.
  • Lead back-of-house and guest-facing activations (staff training, logistics, check-ins).
  • Troubleshoot issues, ensuring guest satisfaction and adapting plans as needed.
Financial Management
  • Manage the budget for assigned projects and tasks.
  • Maximize resource utilization through negotiation and collaboration.
  • Track expenses accurately and ensure fiscal responsibility during travel.
Requirements Work Experience, Education and Skills
  • 2+ years of event planning and management experience, including on-site execution.
  • Experience with budgets of $25K or more.
  • Bachelor's degree in Business, Hospitality, Marketing, Logistics, or equivalent.
  • Proficient in Excel, CRM software, and project management tools.
  • Bi/Multilingual preferred.

Physical Requirements

  • Full time in-person based in the Charlotte, NC office.
  • Must be flexible with hours, weekends, and 50% travel (domestic and international).
  • Must be eligible to work in the U.S.
