Role will be anywhere from 20-30 hours a week,

hybrid in San Antonio is required,

minimum of 3-6 month contract with potential to extend or convert

OVERVIEW: Reporting to and under the direct supervision of the Director of Public Works, the Civic Center and Event Specialist provides day-to-day organizational and operational support in the development and execution of event projects. This individual is responsible for organizing and coordinating all City and Civic Center sponsoring community events, as well as working with private event producers, conventions, group tours and sport groups coming to our facility to ensure that all their needs are met resulting in a successful positive experience. Excellent customer service skills, communications, professional writing ability, virtual and in person meetings, and the servicing of various booked organizations are highly required. Hours are non-traditional in nature and will vary regularly in accordance with event needs including early mornings, late nights, weekends and some holidays.

EDUCATION AND/OR EXPERIENCE: Bachelor s Degree in Business Administration, Marketing, or Public Administration is preferred, but not required. Minimum of two years progressively responsible special events and facility reservations experience or other related experience.

  • Experience in public relations, rule enforcement, and problem-solving.
  • Excellent interpersonal and customer service skills.
  • Requires exceptional organizational skills to track multiple reservations and complex details associated with each.
  • Availability during the prime rental periods, which include weekends, evenings, and some holidays.
  • On-site point of contact for all events held at the Civic Center and city special events.
  • Follow-up/Close out after each reservation/event to ensure proper cleaning and damage is reported of the facility.
  • Assist with event step up and break down duties as directed by director of Public Works such as preparing for events and other duties as assigned.
  • Compile post event wrap up reports to include but not limited to evaluation of rental, damage reports, cost calculations, lessons learned and overall evaluations.
  • Provide support for the special events and festivals to include planning, administrative support, and coordination of select projects, special events, fundraising initiatives for the city, and any other responsibilities deemed appropriate;
  • Supports, in coordination with Public Works, volunteers for city sponsored events.
  • Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City s Personnel Rules and Regulations.
