The starting salary range forthis position is $19.83 - $22.81 depending on qualificationsThe Event Specialist is responsible for MIDFLORIDA Event Center event planning, as assigned by Special Events Administrator. Coordinates and gathers event details and services and communicates information to all internal divisions and outside agencies; prepares related documents and updates event management software in a timely manner. Facilitates the development of public trust and confidence in the City.This position is an Essential classification and will be required to report to duty before, during, and immediately after a civil emergency. ESSENTIAL DUTIES The following duties are illustrative for this position.   • Keeps the mission, vision, and values of the City of Port St. Lucie at the forefront of decision making and action; builds strategic and collaborative relationships and interacts with others in a way that builds confidence and trust; provides excellent customer service by taking action to accomplish objectives, maintains high levels of work and productivity by generating innovative solutions to work situations.
  • Evaluates all facets that make up an event, anticipating issues before they occur and resolve in a timely manner.
  • Compiles data and prepares various documents thoroughly and with accuracy.
  • Updates event information by entering data into a computerized management system.
  • Coordinates meetings with clients and other entities, such as catering, decorators, music, etc.
  • Places and confirms orders for required materials and event components.
  • Assures proper invoicing of all ancillary rental equipment, audio visual equipment, and additional required personnel.
  • Secures appropriate insurance for events, per City procedures.
  • Serves as liaison between clients and caterers to coordinate event details related to food service and event set-up.
  • Works during specific events to coordinate event details, public interaction, and guest/client needs, ensuring customer satisfaction.
  • Secures various event and noise permits for events.
  • Prepares floor plan designs. Conducts evaluation of event with clients after the conclusion of each venue.
  • Evaluates the condition of a rented space, post rental, and documents deficiencies; makes recommendation for disposition of damage deposit.
  • Troubleshoots during event preparation and during event to ensure that all event setups are correct including policies, procedures, and billing.
  • Coordinates sound and light production requirements for assigned events.
  • Works weekends, evenings, and holidays as dictated by event load.
  • Attends various weekly scheduled event operations and catering meetings.
  • Coordinates Art Gallery event displays and 9/11 Remembrance Ceremony.
  • Other duties as may be assigned.
MINIMUM QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION AND/OR EXPERIENCEGraduation from an accredited high school or possession of an acceptable equivalency diploma required. Graduation from an accredited college or university with a Bachelor's Degree in business management, tourism, or hospitality preferred. Minimum of two (2) years of experience in event planning in a public event venue or other hospitality related industry preferred. A comparable amount of training, education, or experience may be substituted for the minimum qualifications. Possession of valid Florida driver's license and maintenance of a clean driving record required. KNOWLEDGE, SKILLS, & ABILITIES
