Key responsibilities include the development of event themes, knowledge of current trends to include risk management, activities, and logistics, coordinating and managing vendors, contractors, and musicians, overseeing work crews, managing content on event websites, employing industry best practices, and utilizing excellent customer service skills. This position requires creativity, organization, teamwork, and initiative.Essential Functions
- Oversees the vendor process to include but not limited to event supplies/entertainment media purchasing-this includes getting vendor quotes, creating contracts, scheduling and collecting the appropriate paperwork while ensuring ongoing communication, vendor payments, and managing those vendors
- Process and maintain Special Event permits
- Purchase, inventory, and organize supplies used for events
- Manage materials and signage needed for event production to include creating signage and working with a sign vendor
- Manage on-site production to ensure smooth execution of events including troubleshooting and clean-up. Determine event staffing levels and oversee internal and external work crews before during and after events
- Working with the Manager to create new ways to enhance revenue and cost recovery for the city's special events
- Research and provide proposals to the Manager to enhance event aesthetics, activities, and programs
- Maintain accurate databases and files for events and perform a variety of administrative activities
- Work with Marketing to create, update, revise and manage multiple websites' content utilizing a content management system. Conduct regular reviews of website pages to ensure accuracy timeliness and relevance
- Attend professional development and industry trade conferences to maintain a high level of education in their assigned field. This will be accomplished through the completion of the TEMI educational program, eventually leading to obtaining the CFEA professional certification
- Cross-train to assist Manager when needed
- Performs other duties as assigned or needed.
QualificationsHigh School diploma or GED; and three (3) years experience in event planning and/or Municipal Government, proficient with Windows Microsoft operations as well as Illustrator and PhotoShop. Ability to obtain a certification in the International Festivals and Events Association within 24 months of hire. Flexible working schedule. Must possess a valid State of Texas Driver's License, must have a working cell phone, and ability to respond to after-hours calls. Reliable transportation, and ability to drive; maintain and provide proof of liability insurance. Have and maintain a professional, inviting, and friendly demeanor. Ability to pass a background check, pre-employment drug screening, and physical exam.
