Oversee the life cycle of assigned events and projects including managing co promoted, sole promoted, & rental events and producing in-house events & projects.
- Represents company in communicating with prospective clients and show producers including checking avails/placing holds, conducting site visits, creating budget estimates, explaining venue policies, procedures and best practices.
- Serves as primary point of contact with rental clients from event confirmation through event completion, ensuring excellent customer service every step of the way. Work with clients to determine specific objectives and needs, formulate specific event plans, create and manage budgets and execute flawless events.
- Collaboratively manages event specifics with all internal departments and vendors, clearly describing the objectives and details regarding ticketing, marketing, schedules, staffing, equipment needs, etc. to ensure success for all involved.
- Ensures that contracts, deposits, insurance coverage and all event-related documents are properly processed. Processes all wires for payment to clients and partners. Ensures that all internal settlements are completed and agreed upon with partners. Process check requests for artist and vendor payments.
- Tracks revenue and expenses throughout event lifecycle, keeping client informed of any deviations from budget. Compiles final revenue and expense reports, including appropriate backup, for financial settlements. Conducts onsite settlements when necessary and work with accounting for post-show settlements.
- Provides show day coverage as Manager on Duty of both private and public events. Serves as main point of contact for artist teams, promoters and rental clients. Supervises internal departments & vendors to ensure that all objectives are met and that all stakeholders are satisfied, handling guest issues, maintenance issues, etc. as necessary.
- Works with the Events Team and Sr. Events Manager to manage venue calendar in a manner that creates the greatest utilization, revenue, profit and business and operational efficiencies.
- Produces and manages in-house events and projects.
- Manages all steps from impetus to successful execution including but not limited to: creating and adhering to budgets collaborating on creative development developing and managing master project plans hiring and serving as main point of contact w/external vendors collaborating with talent buyer serving as primary point of contact with artist teams on show advances working with marketing department and box office to ensure success from set up through sell out communicating and collaborating with all internal departments to ensure success in all areas providing on-site supervision/coordination during events
- Ensures that all invoices and accruals for the Opry House are submitted to accounts payable.
- Performs other duties as assigned.
