Job Summary: We are seeking a highly organized and proactive Executive Assistant to support the CEO in managing daily operations, strategic initiatives, and administrative tasks. The role involves scheduling, preparing reports, and coordinating meetings and events. The Executive Assistant will be expected to work closely with senior leadership, anticipate needs, and ensure smooth operation of the CEO's office.
What you'll be responsible for as Executive Assistant:- Manage schedules, appointments, and executive communications for the CEO.
- Coordinate and manage schedules for special events, conferences, and workshops.
- Coordinate logistics and operations for both local and off-site meetings and events.
- Handle daily communication management, including filtering and organizing emails, physical mail, and voicemail for the CEO.
- Arrange travel plans, ensuring smooth coordination for business trips.
- Build and edit meeting agendas while coordinating meeting logistics.
- Assist in developing proposals and presentations, including initial planning, research, and final production.
- Perform confidential administrative tasks, including researching data and preparing reports as requested.
- Provide administrative support to the executive team as needed.
- Answer phone calls and take messages.
- Prepare and review documents, reports, invoices, and presentations.
- Communicate with executive team, vendors, and other visitors.
- Handle confidential information with discretion and professionalism.
- Manage personal tasks as needed.
What you need to have:- High school diploma, GED, or equivalent; College degree preferred
- 5-7 years previous related work experience required
- Proficient in the use of Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, Teams, SharePoint, etc.
- Excellent Computer skills
- Must be detailed oriented, results-driven, and excellent at multitasking
- Excellent verbal and written communication skills
- Strong organizational skills needed
- Hard-working TEAM player who can easily adapt to changing needs
- Ability to handle sensitive information with confidentiality
- Strong desire to learn and excel
- Proficiency in using standard office equipment such as computers, fax, scanner, etc.
- Must be reliable, dependable and drug-free
