Job Description :

Our client, a Boutique Investment Firm, is seeking a new Full-Time/Permanent Executive Administrative Assistant/Research Coordinator to support 3-4 Executives, including 1 Investment Partner and 2 Investment Analysts. This person will be working in a collaborative, open trading floor environment. Candidates must have a minimum 2-5+ years of relevant administrative support experience, ideally within financial services (but open to industry), and a Bachelor s degree is required. They should be extremely smart, polished, proactive, organized, detail-oriented, comfortable/happy being an admin, and possess a high EQ. Previous research experience is a plus. This position will be hybrid and based out of the New York office.

  • Salary depends on experience (90-150k base), plus discretionary bonus eligibility.

Responsibilities:

  • Provide high-level administrative and research support to NYC-based Investment Team (3-4p), including 1 Investment Partner and 2 Investment Analysts
  • Schedule and organize extensive internal and external meetings, conference/video, and appointments (sell-side, expert calls, management teams, ad hoc) across various time zones and locations; manage and maintain busy and ever-changing calendars
  • Work with team to establish standard processes and expectations across responsibilities.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries
  • Prepare, process, and submit expense reports
  • Provide research support, including standard pulls (using platforms like CapiQ, Pitchbook, investor websites), internal material library maintenance, management interaction tracking, company earnings release and call tracking, watchlist maintenance, corporate access, conference tracking/event flagging, request tracking, etc
  • Serve as back up to admin team and provide personal assistance as needed

Required Qualifications:

  • Minimum 2-5+ years of relevant administrative support experience, ideally within financial services but open to industry
  • Previous research experience a plus
  • Bachelor s degree or equivalent required
  • Accustomed to working in a fast-paced, team/collaborative environment
  • Smart, solutions-oriented, proactive, flexible, and organized
  • High EQ individual
  • Must be good at multitasking and managing changing priorities
  • Demonstrated ability to communicate effectively in written and verbal form, facilitating clear interactions with all team members and stakeholders
  • Meticulous attention to detail, ensuring accuracy in all tasks
  • Proficient in MS Office Suite (Excel, Outlook, PowerPoint, Word), Zoom, Slack, and Airtable experience a plus
