Job Description :
TITLE: Executive Assistant and Strategic Project CoordinatorREPORTS TO: Lead PastorSummary:The Executive Assistant and Strategic Project Coordinator is responsible for providing administrative support to the Lead Pastor. This role will support the Lead Pastor by coordinating and advancing strategic organizational objectives and the church's mission.Lead Pastor Office Oversight
  • Serve as the primary contact for the Lead Pastor's office
  • Manage internal and external communication and calendar on behalf of the Lead Pastor
  • Coordinate logistics on behalf of the Lead Pastor for meetings, commitments, and travel
  • Available to assist the Lead Pastor at specific events throughout the year
  • Ensure radical hospitality is provided by the Lead Pastor's office for meetings and events and help initiate the care of staff and members
  • Help with other tasks as assigned by the Lead Pastor
Coordinate Strategic Projects for the Lead Pastor
  • Initiate new projects or oversee current projects in the life of the church that advance our mission and values
  • Understand the church's missions and values and the Executive team's priorities for each project
  • Define and determine project goals, scope, budget, deliverables, and timeline
  • Create and lead teams, and coordinate people and processes
  • Monitor and track project plans, schedules, budgets, and key milestones
  • Identify and mitigate risks that could impact the project's success
  • Resolve issues and solve problems throughout the project life cycle
  • Regularly communicates project progress, roadblocks, and/or substantive project modifications to the Exec team
  • Evaluating the project's performance
Elder Board Support
  • Execute preparation for and follow up after regular Elder Board meetings
  • Assist the Elder Board in tasks, processes, and projects
  • Support the communication and relationships between staff, elders, and the church family
Relationship with Storyline Team:
  • I receive input from: Lead Pastor
  • I work with: Lead Pastor, Executive Support Team, Executive Team, Staff Team
Qualifications:
  • Member of Storyline Church
  • A daily pursuit of Christian maturity
  • 2-3 years of Project coordination and executive assistant experience
  • Self-starter with the ability to proactively anticipate needs, follow through, and solve problems
  • Excellent interpersonal skills to work with elders, staff, and members
  • Excellent planning, organizational, and communication skills
  • Strong ability to set priorities, deadlines, and stick to a timeline
  • Strong ability to work independently with little supervision
  • Strong ability to lead teams, delegate tasks, and provide support when needed
  • High attention to detail
  • Proficiency in GSuite and Apple devices
  • Ability to learn Planning Center, Martus, Expensify, and other online systems
  • Anticipate the needs and understand the unique gifts of the Lead Pastor
  • Demonstrate the highest levels of integrity in handling confidential information
