POSITION SUMMARYTrinity's Neighborhood Support (NS) division takes a place-based approach to focus on communities in a holistic manner to solve for key challenges by combining targeted investments with on-the-ground support. NS is focused on yielding child, family, and community well-being by addressing the areas of early childhood education, K-12 education, post-secondary education and employment pathways, economic assets, social networks, and health. The Executive Assistant provides direct administrative assistance to the Chief Community Impact Officer, and support to the Neighborhood Support team. This position has particular focus on managing schedules and logistical support for travel, events and appointments for the Chief Officer.The annual salary range for this position is $88,400 - $102,300.ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Manage and maintain daily schedule of Chief Officer; prioritize calendar demands; coordinate with other Executive Assistants and external parties as needed.
  • Answer phones and route calls to the correct person or take messages.
  • Make travel arrangements for the Chief Officer, including initial planning, logistics oversight, and troubleshooting before and during travel. Assist in arranging events and managing logistics.
  • Provide administrative support for Neighborhood Support events and programming.
  • Process expenses for the Chief Officer and others, as needed.
  • Process invoices on behalf of the Chief Officer.
  • Work with colleagues throughout Trinity to ensure smooth workflow in and out of the offices across Trinity.
  • Manage computer-based reporting systems for fiscal, expense, legal, time and attendance and other systems as needed.
  • Manage and maintain an organized filing system for the Chief Officer and Neighborhood Support.
  • Assist in the preparation, printing and distribution of regular reports and presentations.
  • Research and collect data to prepare documents for review.
  • Help prepare for internal and external meetings and events.
  • Perform basic office duties, such as ordering supplies.
  • Accurately record minutes from meetings.
  • Adhere to confidentiality rules and all other Trinity Wall Street policies, procedures and rules.
  • Perform all duties in a manner that promote Trinity's mission and core values.
  • Assume other related responsibilities and special projects as required.

  • The ability to work a flexible schedule with periodic weekend and evening work required.
REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS
  • College degree and/or an equivalent combination of training or experience.
  • Five plus years of experience in confidential executive support and interaction with high level associates.
  • Experience with project management and other software is a plus.
  • Experience working in a community-based setting is a plus.
  • Experience working with diverse groups of people.
