We invite you to apply to be a part of ourUniversity community!Job DescriptionAs an integral part of the Advancement Division team, theExecutive Assistant has direct responsibility for carrying out the administrativemanagement and technical duties required by the Idaho State UniversityFoundation. The incumbent is responsible for a wide range of complex andconfidential administrative and operational functions. These responsibilitiesinclude high-volume communication and interaction with Foundation Boardleadership and members, necessitating exposure to, and having the authority tohandle sensitive information. The position carries substantial responsibilityand requires a broad range of skills and the ability to exercise considerablejudgment and discretion, initiative, and independence. Interacts frequentlywith university administration, business leaders, current and prospectivedonors, and with other senior-level university officials and their constituents,requiring precise and timely action and communication.This position requires occasional evening and weekend workto support Advancement and Foundation related work and events after normalbusiness hours.Key Responsibilities1. Prioritize and manage scheduling for the Idaho StateUniversity Foundation Board and Committee Meetings.2. Manage logistics for meetings, events, and possibletravel for the Foundation.3. Compile meeting materials including meeting minutes,track action items, prepare briefings, presentations, and reports.4. Prepare correspondence and other materials on behalf ofthe Foundation.5. Support the Director of Advancement and FoundationServices in facilitating Finance and Investment Committees6. Support Foundation policy and procedure maintenance withthe Governance Committee Chair.7. Facilitate responses to concerns brought to the IdahoState University Foundation.8. Partner with the Advancement Executive Assistant tosupport Foundation activities, the Foundation Board in the relationship withthe Vice President for Advancement and other University and Advancement leadersand serve as a backup to the Advancement Executive Assistant as needed.9. Manage special projects and perform other duties asassigned.Minimum Qualifications•Bachelor's degree•2 years of related experience in comparable executivesupport positions•Experience with meeting management and minute taking•Strong information technology and computer skills,including extensive working knowledge of Microsoft Office, Google Suite, andthe ability to learn new programs and softwarePreferred Qualifications•Experience performing the related duties andresponsibilities in supporting a Foundation board, working at an institution of higher education, orsimilarly complex organization•Demonstrated ability to organize, plan, and manage complexlogistics•Demonstrated interpersonal skills, including the abilityto communicate verbally and in writing to a level appropriate for executiveinteractions•Proven ability to work independently and under pressurewhile maintaining a highly professional demeanor•Experience with Financial records•Ability to work flexibly as part of a collaborative teamto achieve goals•Able to adapt to changing situations and priorities•Experience working with confidential records and data andexercising discretion•Understanding of board governance and related legalstandards for boards with fiduciary oversight rolesAdditional InformationYou must submit your CV/resume, cover letter, and list ofthree (3) professional references, including current contact information.
