This individual will work out of our Chicago and Highland Park locations for 30 hours per week.Responsibilities:Business
  • Scheduling and calendar maintenance
  • Inbox e-mail maintenance
  • Bio updates, including working with marketing
  • LinkedIn updates, including working with marketing
  • Maintain social medial presence, particularly LinkedIn posts/reposts
  • Complete the Executive's Expenses, as well as approve expenses on the Executive's behalf
  • Send business gifts throughout the year - holiday gift distribution to building security
  • Holiday gift list for the Executive
  • Correspondence / Business Writing / Talking Points / Formatting
  • Reminders for important firm events / milestones
  • Use electronic signature for authorized documents
  • Complete financial reporting for the firm, questionnaires, trainings, and continuing education
Civic
  • Support civic board needs, including attending meetings
  • Coordinate on-site civic meetings (primarily CCA), including email invitations, catering, building access, etc.
Community
  • Support charitable board needs, including attending meetings
  • Coordinate on-site charitable meetings (ad hoc), including email invitations, catering, building access, etc.
  • Support leadership role (Mercy Home in 2025), including solicitation list, send email asks, and event coordination
Personal
  • Coordinating travel, including private transportation reservations
  • Flex spending submissions
  • Send gifts and flowers on occasions
Requirements:
  • Bachelor's degree and/or equivalent work experience.
  • Prior experience in financial services or related field preferred.
  • A min. of 10 years demonstrated experience as an executive assistant supporting c-suite executives preferably within the financial services sector.
  • Possess strong knowledge of all MS Suite of products, specifically MS Excel.
  • Superior professional communication skills required, both verbal and written, including strong telephone skills.
  • Ability to work independently and professionally with institutional clients.
  • Experience handling material of a confidential and sensitive nature.
  • Proficiency in managing multiple projects effectively, with a high degree of accuracy and in a timely manner.
  • Self-starter, ability to work with autonomy in a team environment and proactively anticipate and solve critical issues.
  • A key requirement for this position is the ability to work onsite between our Corporate Headquarters located in downtown Chicago as well as our Highland Park office.
In accordance with the Illinois Pay Transparency Law, the anticipated hiring base salary for the role will be between $60,000 and $75,000 per year. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, also provides the opportunity for a performance based bonus and the Mesirow benefit program.EOE
