Job Description

We are seeking a highly motivated and experienced professional to join our team as an Executive Assistant, Office and Hiring Manager. This dual role requires a dynamic individual who can efficiently manage office operations and the recruitment process. The ideal candidate should possess excellent organizational, interpersonal, and communication skills. As a key member of our organization, you will play a crucial role in identifying top talent and ensuring the smooth functioning of our office.

As a key member of our organization, you will play a crucial role in identifying top talent and ensuring the smooth functioning of the company.You will additionally assist the CEO in tracking and managing key projects and initiatives and be responsible for placing orders and managing both bills and invoices.

Key Responsibilities

Executive Assistant:

  • Oversee daily office operations to ensure a productive and well-organized workplace.
  • Coordinate office activities, such as meetings, events, and employee gatherings.
  • Address and resolve office-related issues, seeking solutions to enhance efficiency and productivity.
  • Assist with general accounting tasks, such as creation of purchase orders, placing orders for goods, receipt of goods, invoice entry, and account reconciliations.
  • Assist the CEO in tracking and managing key projects and initiatives.
  • Ensure deadlines are met and objectives are achieved.
  • Manage the CEO's to-do list, ensuring all tasks are followed through.
  • Handle sensitive information with the utmost confidentiality.
  • Act with discretion and integrity in all aspects of the role.
  • Maintain organization in the CEO's office, ensuring all materials and resources are easily accessible.
  • Order supplies, manage office equipment, and ensure the office environment is maintained.
  • Cultivate positive relationships with key partners, clients, and stakeholders on behalf of the CEO.
  • Ensure prompt follow-ups and maintain effective communication channels.

Hiring Manager:

  • Develop and execute comprehensive recruitment strategies to attract and retain top-tier candidates.
  • Collaborate with management to understand their hiring needs and create job descriptions that effectively represent each role.
  • Source, screen, and interview candidates, ensuring a high-quality candidate experience throughout the process.
  • Utilize various recruitment platforms, networking events, and professional networks to identify potential candidates.
  • Conduct reference checks and collaborate with management to negotiate offers and onboard selected candidates.

Qualifications

  • Bachelor's degree in accounting, business administration, or a related field preferred.
  • Proven experience as a bookkeeper, hiring manager, talent acquisition specialist, or similar role.
  • Experience with Quickbooks or similar accounting package, Microsoft Office Suite.
  • Excellent interpersonal and communication skills to effectively interact with candidates and employees.
  • Demonstrated ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • High level of confidentiality, professionalism, and integrity.
