This position provides high level executive administrative leadership and professional support to the Information Technology Services (ITS) senior leadership team, including the Senior Vice President for Digital Transformation/Chief Digital Officer (CDO), along with the Associate Vice President and Chief Technology Officer (CTO). In addition to daily management of schedules and high-level communications, the position will be responsible for administrative support or oversight of various projects and initiatives across the University. This position also provides support in the revision, preparation, and dissemination of documents to University leadership including the Board of Trustees, requiring precision and discretion.
Education and Experience
* A Bachelor's degree or equivalent combination or education and experience.
* Five (5+) plus years of experience providing executive support and/or project management to senior executives.
Skills and Knowledge
* Highly organized with the ability to effectively multitask within diverse environments and situations.
* The ability to take notes, keep accurate records and history, and prepare correspondence and reports.
* Capable of initiating, carrying through and completing tasks under minimal supervision.
* Performs work with energy and drive while exploring other opportunities to contribute.
* Solid computer skills, and expert proficiency on the Microsoft Office Suite including, Word, Excel, PowerPoint, and Outlook.
* Demonstrates advanced skills and insight gathering and sorting key information. Demonstrates persistence, skill, and resilience throughout the process.
* Identifies and manages the appropriate level of inclusion indicated by the situation.
* Well versed in handling sensitive corporate and personnel information.
* Spends time on what is important; efficiently coordinates the efforts of others into priorities and goals and plans the time of others accordingly in order to accomplish goals.
Responsibilities
* Provide executive level administrative leadership and professional support using discretion and independent judgement.
* Manage executive calendars and schedule appointments.
* Provide support in scheduling and preparing for meetings, conferences and general administrative logistics.
* Analyze complex confidential information to brief and/or prepare reports for SVP/CDO; the AVP for IT/CTO; and ITS senior leadership team.
* Prepare email and other written correspondence as requested on behalf of the for SVP/CDO; the AVP for IT/CTO.
* Coordinate out of town travel for senior leadership team.
* Provide project management, oversight, logistic support, and/or other expert administrative support for a variety of projects including scheduling, coordination with internal and external partners, research, material gathering, preparation and review, and draft report writing.
* Administrative support for all department weekly and monthly meetings.
* General office management, including maintain workflow. Reconcile senior leadership university credit cards, answer incoming calls and correspondence using judgment and discretion.
* Interact with all levels of the University, including but not limited to, the Chancellor and Executive Team, Senior Academic leaders, Board of Trustees, Deans and Department Heads.
* Collaborate with individuals on campus and external advisors to record, track and report on progress related to various initiatives overseen by the SVP/CDO and the AVP for IT/CTO.
* Support department events including semester staff meetings, annual department events, Research Series Lectures, AI webinars, and various campus engagement initiatives.
