In addition to general administrative responsibilities, the EA will take part in various ad hoc tasks and projects including, but not limited to, the below: Primary Responsibilities
  • Provide direct administrative support to the Executive, including email correspondence, and generation and distribution of memos, letters, spreadsheets, and forms;
  • Provide extensive calendar management utilizing Outlook in order to schedule and/or coordinate client calls, meetings, events, and personal appointments;
  • Schedule and coordinate onsite and offsite meetings and logistics for a variety of purposes including; executive meetings, board meetings, external visitors, and candidate interviews;
  • Track and help drive completion of key deliverables and follow up on outstanding items to include meeting notes and action items;
  • Coordinate and arrange travel itineraries and arrangements including, but not limited to, air and ground transportation, and hotel & dining reservations;
  • Draft and prepare written materials including reports, agendas, procedural guides and instructions, and other documents of highly confidential nature;
  • Proofread and check documents for completeness, accuracy, and grammar;
  • Handle details, access to information and conversations of a highly sensitive nature in confidence;
  • Prepare and/or input financial information into necessary software such as Timberline, Concur, Construction personnel time-off management, and Microsoft Excel;
  • Coordinate closely with Talent Acquisition, HR, and other Executive Assistants within JRM;
  • Notify the administrator of any approved high-level personnel time off requests;
  • Track purchase order cycle timelines and follow up with project teams when needed;
  • Assist the Executive Management Team on ad-hoc assignments as needed.
Qualifications
  • At least three years of experience as an Administrative Assistant or Executive Assistant
  • Demonstrate strong attention to detail and quality
  • Be able to prioritize and understand prioritizations of what the Executive needs to accomplish, be intuitive
  • Excellent Resourcefulness; excel at problem-solving, taking initiative, and being very resourceful;
  • Exceptional written and verbal communication skills
  • You are a team player who knows when to act independently and when to seek second opinions
  • Ability & Willingness to learn & understand company business relatively quickly & anticipate needs
Computer Systems
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, and Outlook), and overall tech-savvy
Salary Information
  • To the extent this position is performed in New York, the annual salary range for this role is $80,000-100,000.
The range stated is specific to New York.
