Executive Administrative Assistant

About the Role: In this role, you'll provide essential support to the Executive Leadership team of the organization, primarily the Executive Director and ensure office operations run smoothly and efficiently. You'll work closely with the Executive Director, and accounting leaders while also supporting the board of advisors as needed for quarterly meetings. Your contributions will be vital to the team's success.

Key Responsibilities:

  • Executive Support: You'll manage the Executive Director's calendar, coordinate meetings and travel, and ensure they stay ahead of commitments.
  • Team Coordination: Collaborate with the Management Team, keeping them informed of upcoming deadlines, managing key meetings, and troubleshooting scheduling conflicts.
  • Board Liaison: Organize quarterly board meetings, including coordinating venues, catering, and meeting materials. You'll be the key contact for all logistics.
  • Relationship Management: Serve as the primary point of contact for high-level relationships, representing the Executive Director and team with professionalism and warmth.
  • Office & Event Management: Oversee office operations, from managing supplies to light meal prep for meetings, ensuring a welcoming environment.
  • Concierge Support: Provide top-notch support and ensure their needs are anticipated and met.

Qualifications:

  • 10+ years of Executive Assistant experience supporting C-suite executive preferably in a smaller organization.
  • 5 plus years of experience working with a Board of Directors
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong time management, multitasking, and organizational skills.
  • A proactive attitude and ability to anticipate needs before they arise.
