Job Description :

The Executive Assistant (EA) will provide comprehensive support to the partners and senior executives at the firm. This role requires a high degree of professionalism, initiative, and confidentiality. The EA will manage complex schedules, coordinate meetings and events, handle communication, andassist with special projects, ensuring the smooth operation of the firm's daily activities.

Responsibilities:

Calendar and Schedule Management:

  • Manage and optimize the complex calendars of senior executives, scheduling meetings, calls, and events.
  • Coordinate with internal and external stakeholders to arrange meetings, including investors, portfolio companies, and other partners.
  • Ensure executives are well-prepared for meetings by providing necessary materials and agendas.

Communication and Correspondence:

  • Serve as the primary point of contact for internal and external communications.
  • Draft, review, and edit emails, letters, and other documents on behalf of executives.
  • Maintain confidentiality of sensitive information and handle it with discretion.

Travel Arrangements:

  • Organize and manage complex travel itineraries, including flights, accommodations, and ground transportation.
  • Prepare and process expense reports in a timely manner.
  • Anticipate travel needs and proactively resolve any issues that may arise.

Meeting and Event Coordination:

  • Plan and execute meetings, conferences, and events, ensuring all logistical details are handled.
  • Coordinate with vendors, book venues, and manage attendee communication.
  • Assist with the preparation of presentations, reports, and other meeting materials.

Special Projects and Research:

  • Support executives with research, data analysis, and the preparation of reports or presentations.
  • Assist with special projects that may involve portfolio management, due diligence, or investor relations.
  • Take on ad hoc tasks and responsibilities as required by the executive team.

Office Management:

  • Oversee the day-to-day operations of the office, including supplies management and liaising with service providers.
  • Maintain an organized filing system for both digital and physical documents.
  • Ensure the office environment is professional, efficient, and welcoming for all guests.

Qualifications:

  • 5+ years of experience as an Executive Assistant, preferably in the finance or venture capital industry.
  • Bachelors degree in business administration or a related field is preferred.
  • Excellent organizational and time-management abilities.
  • Strong written and verbal communication skills.
  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with integrity and discretion.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.
  • Proactive and resourceful with a strong attention to detail.
  • Ability to anticipate needs and act with minimal supervision.
  • Professional demeanor with strong interpersonal skills.
