Job Title: Executive Assistant Location: Radford, VA Security Clearance: DOD Secret (Fully Adjudicated), interim okay to start Citizenship: US Required Certifications: none Job Responsibilities:
  • Manage and maintain the complex calendars and schedules of senior personnel and resolve conflicting priorities and orchestrate changes to the calendar based on emerging priorities that may include coordination, verification, follow-ups, reminders, and scheduling of meetings with senior government personnel and industry personnel.
  • Serve as a subject matter expert in interpreting Joint Travel Regulations (JTR) and facilitating compliance to plan and coordinate travel for senior leaders; create and review travel authorizations and vouchers in the Defense Travel System (DTS)
  • Coordinate office administrative functions including office security, access requests for personnel and visitors, scheduling office events, ordering supplies, and maintaining the office supply cabinet. Should have experience in administrative support and working knowledge of DoD security procedures.
  • Plan, coordinate, and confirm logistical support (transportation, paperwork, audio/visual support, etc.) for meetings held in conjunction with agency activities; escort, greet, and provide information supporting visits.
  • Ensure compliance with established guidelines and deadlines (Staff Call slides, PERSTAT, SITREP, etc.) and coordinates the completion of all assigned taskers through ETMS2.
  • Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
  • Keep Command Office advised of time sensitive and priority issues, ensuring appropriate follow-up.
  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.
  • Prepares and edits emails, draft memos, and other communications on the executive's behalf.
  • Serves as the Public Affairs / Communications Representative
  • Pick up mail and distribute daily.
  • Answer phone calls in a polite and professional manner.
  • Perform special projects on own initiative or as assigned.
Required Skills:
  • Strong organizational and communication skills and the ability to work fast paced changes in requirements and schedule
  • Experience with creating and reviewing CONUS and OCONUS Defense Travel System (DTS) orders and knowledge of Joint Travel Regulation (JTR).
  • Experience in managing correspondence in DoD environment.
  • Highly proficient in Microsoft 365, specifically word, Excel, and PowerPoint.
  • Proactivity and self-direction.
  • Time management and ability to meet deadlines.
