Job Description :

BHS Corrugated is seeking an Executive Assistant to join our growing team in our Charlotte, NC facility! Summary: The Executive Assistant will provide high-level administrative support to the executive team and serve as the Office Administrator for our new facility in Charlotte, NC. This role will assist in establishing the office and ensure its smooth day-to-day operations. The ideal candidate will be resourceful, detail-oriented, and capable of juggling multiple tasks in a dynamic environment. This is an on-site position in Charlotte, NC requiring up to 10% travel. Responsibilities:

  • Executive Support:
    • Provide comprehensive administrative support to the executive team, including managing calendars, preparing expense reports, arranging travel, and coordinating meetings.
    • Prepare reports, presentations, and other documents for executive review.
    • Act as a liaison between executives and internal/external stakeholders, ensuring timely communication and follow-up.
  • Project Management:
    • Manage and coordinate special projects related to the office setup, ensuring timelines, budgets, and objectives are met.
    • Collaborate with internal teams and external vendors to track progress and resolve issues as they arise.
    • Develop project plans, monitor deliverables, and report progress to the executive team.
    • Ensure all projects are completed on time and in line with company standards and expectations.
  • Office Administration:
    • Assist with the setup of the new Charlotte office, coordinating with vendors and ensuring supplies, equipment, and basic office needs are met.
    • Manage day-to-day office operations, including ordering supplies, handling mail, and ensuring the office is organized and efficient.
    • Serve as the main point of contact for office-related inquiries and ensure administrative processes are followed.
  • Facility Setup Assistance:
    • Support the planning and coordination of the office setup, working closely with IT and facilities teams to ensure all necessary systems are operational.
    • Help with the logistical aspects of the office opening, ensuring all vendors and service providers are aligned with timelines.
  • Event and Meeting Coordination:
    • Assist in planning and organizing office events, meetings, and executive functions.
    • Provide administrative support for executive-level meetings, including scheduling, preparing agendas, and taking minutes.
  • General Administrative Duties:
    • Handle communications and correspondence on behalf of the executive team.
    • Maintain confidentiality and discretion in handling sensitive information.
    • Support other administrative functions as needed to ensure smooth operations of the office and support the executive team.
  • Perform other related duties as assigned by CPO.
Requirements:
  • Associate's or Bachelor's degree preferred but not required.
  • 3+ years of experience as an Executive Assistant, with additional experience as an Office Administrator preferred.
  • Excellent organizational, multitasking, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic office administration software.
  • Ability to adapt to new office setups and handle administrative challenges with minimal supervision.
  • Ability to work at a computer for up to eight (8) hours a day.
  • Ability to stand for at least forty-five (45) minutes at a time and lift thirty-five (35) pounds at waist level.
Salary and Benefits: The salary range offered for this position is $60-65k per year.
