**Description**
**Definition:**
Provide high-level administrative support to the Chairman and Vice Chairman on various projects supporting Project Development, Real Estate, and Oil and Gas operations. The entities supported include HSB Resort Development LLC, Horseshoe Bay Resort Holdings, Jaffe Interests, JMH Properties LLC, and Petrolink Oil and Gas. This position also assists in government dealings with the State, City of Horseshoe Bay, Counites of Llano and Burnet, LCRA, PEC, TxDot, and other agencies on an as-needed basis.
**General Duties:**
+ Responsible for all administrative functions associated with the Chairman and Vice Chairman's work for the listed entities.
+ Compose correspondence requiring knowledge of the Chairman and Vice Chairman's views and philosophy.
+ Note and follow up on commitments made by the Chairman and Vice Chairman during meetings and other forms of communication.
+ Establish appointment priorities or reschedule or refuse appointments or invitations.
+ Summarize the content of incoming materials and locate and attach related documents to correspondence that require the personal attention of the Chairman and Vice Chairman.
+ Organize desks, office, files, books, and office supplies for the Chairman and Vice Chairman's office.
+ Coordinate housekeeping and building maintenance for various properties associated with the Chairman and Vice Chairman.
+ Handle details of a highly confidential nature.
+ Take and transcribe notes and dictation.
+ Oversee IT needs of the Chairman and Vice Chairman.
+ Route incoming mail.
+ Other administrative duties as assigned.
**General Qualifications:**
+ College degree strongly preferred.
+ Experience as administrative assistant level personnel.
+ Proficient in Microsoft Office software (Word, Excel, PowerPoint) and DocuSign.
+ Proficient with Gmail and Google applications.
+ Skilled in Internet research.
+ Basic business math knowledge in order to understand and contribute meaningfully to office budgets and other projects.
+ Competence in the use of all standard office equipment.
+ Notary public preferred.
+ Exceptional verbal and written communication, organizational skills, and detail orientation.
**Physical and Mental Requirements:**
+ Must be able to reach top drawer of four-drawer cabinet.
+ Must be able to multi-task efficiently; follow up/follow through on tasks, calendar, email, etc.
+ Must have normal vision or corrective lenses.
+ Must be able to type 50 words per minute.
+ Must have a neat, professional, and pleasant overall appearance.
+ Must be able to walk as a daily routine.
+ Must be able to communicate effectively with the public.
+ Must be able to ascend/descend stairs as a daily routine.
+ Must be able to communicate and disseminate information accurately.
+ Must be able to comprehend reading materials.
+ Must be able to speak, read, and write English.
+ Must be able to access, input, and retrieve information from the computer, with particular proficiency in Microsoft Office applications (Word, Excel and Outlook).
+ Must have proven telephone skills.
+ Must be open to learning new equipment and software programs.
+ Must have a strong commitment to confidentiality.
