We are seeking an experienced Executive Assistant with a strong sense of confidentiality, efficiency and self-management skills. This is an opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization.
Job Duties:
* Act as the point of contact between the Executive team office and Pinelawn's Board of Directors, employees, clients and other external partners
* Manage incoming email communications, phone calls, and mail, prioritizing confidentiality, and effective time management
* Handle calendars and appointment scheduling; arrange onsite and offsite meetings and events, while troubleshooting scheduling conflicts
* Set-up meetings using different virtual meeting platforms, including but not limited to Zoom, Microsoft Teams, and Google Meet
* Assist with the preparation of meeting materials, including but not limited to invitations, mailers, presentations, reports and any other printed or digital materials as needed
* Take notes during Company meetings and prepare any follow-up documentation, including meeting memorandums and minutes
* Work on special projects and other tasks as assigned, based on Pinelawn's business and operational needs, including but not limited to running errands, placing orders, reconciling corporate expenses, etc.
Minimum Requirements:
* Bachelor's Degree in Business Administration, or equivalent work experience
* Must have 5+ years of experience as an Executive Assistant, handling sensitive, confidential and privileged business and/or personal information
* Must possess exceptional communication, time management and organizational skills. Writing samples are a plus, but not required as part of the application.
* Must have solid experience using MS Office (Word, Power Point, Excel, Outlook email and calendar)
* Must be able to effectively use different virtual meeting platforms, including Zoom, Microsoft Teams and Google Meet
* Must possess a valid, unexpired Driver's License
