Summary: The Executive Assistant to the Chief Financial Officer, Chief People Officer, and Chief Legal Officer will provide high-level administrative support to multiple C-suite executives. They will be responsible for managing complex calendars, facilitating communication, and ensuring smooth day to day operations for senior leadership. The Executive Assistant will serve as a liaison between the C-suite and various internal and external stakeholders, ensuring the executives can focus on strategic initiatives. Primary Job Duties: The Executive Assistant role will have responsibilities, without limitation, to include the following: Calendar & Schedule Management: Efficiently manage and prioritize complex calendars for multiple C-suite executives. Coordinate meetings, conference calls, and events, ensuring all details are handled (location, time, attendees, etc.). Proactively resolve scheduling conflicts and prioritize urgent matters. Communication & Correspondence: Act as the gatekeeper for C-suite executives by managing incoming communication and filtering messages. Draft, edit, and proofread emails, memos, presentations, and reports. Serve as a liaison between the executives and other departments, external partners, and clients. Travel Coordination: Plan and organize complex domestic travel itineraries, including flights, accommodations, ground transportation, and detailed agendas. Handle travel changes or issues as they arise. Meeting Preparation & Follow-up: Prepare executives for meetings by gathering and organizing relevant materials and agendas. Attend meetings as needed to take minutes and ensure action items are tracked and followed up on. Project Support: Assist with special projects, presentations, and reports as requested by C-suite leaders. Monitor and track progress on key initiatives, ensuring deadlines are met. Confidentiality & Discretion: Handle sensitive and confidential information with the utmost discretion. Ensure secure filing, storage, and disposal of documents and data. Administrative Duties: Manage expense reports, invoices, and other financial documents for C-suite executives. Maintain organized records and filing systems. Assist with personal tasks and requests as necessary to support executives. Qualifications/Requirements: Education: A bachelor's degree in business administration or related field or equivalent experience Experience: Experience as C-Level Executive Assistant preferred Ability to multi-task and troubleshoot in a high paced, fast-paced, work environment, with tight timelines. Ability to handle other duties customary for C-Suite executive assistants. Excellent communication and organizational skills Strong EQ and the ability to connect with people. Must take initiative, be detail-oriented, highly confidential, and have a shared commitment to excellence. High proficiency with PC operating systems, Microsoft Office Software, and creating presentations. Flexibility to work evenings, weekends, and holidays; hours may vary depending on business needs. Must complete all pre-employment forms and successfully pass a background check.
