About the Job

CV Americas seeks a highly organized, dedicated, and dynamic Corporate Services Specialist to serve as an Executive Assistant to our Americas Director. This role is pivotal in supporting the Regional Director in enhancing regional operational efficiency and effectiveness. The successful candidate will manage the Director's schedule, coordinate meetings and agendas, host visitors, and assist with special projects. This position offers a unique opportunity to work closely with senior leadership and contribute to multiple dimensions of CV's mission.

    Specific Responsibilities

    • Administrative Support: Manage the Director's calendar, including scheduling meetings, travel arrangements, and prioritizing appointments efficiently.
    • Meeting Coordination: Prepare meeting agendas, gather and distribute materials before meetings, and take detailed minutes.
    • Visitor Hosting: Coordinate logistics for visitors, ensuring a welcoming and organized experience.
    • Communication Facilitation: Act as a liaison between the Director and other departments, enhancing communication and the execution of initiatives.
    • Project Assistance: Support the Director with ongoing projects, ensuring tasks are completed within deadlines and objectives are met.
    • Confidentiality: Maintain discretion and confidentiality when handling sensitive information.

    General Responsibilities

    Requirements

    • Bachelor's degree in Business Administration, Management, or a related field.
    • Experience with Notion or other project management tools is a plus.
    • Proven experience as a Personal Assistant, Executive Assistant, or similar role, preferably within a corporate or nonprofit organization.
    • Exceptional organizational and time-management skills.
    • Excellent verbal and written communication abilities.
    • Proficiency in Microsoft Office Suite and digital scheduling tools.
    • Ability to handle confidential information with discretion.
    • Strong interpersonal skills, with the ability to work effectively with diverse teams.

    Eligibility Requirements

    • Must have unrestricted work authorization to work in the United States.
    • Be available for domestic and international travel.
    • Must be available to work from our office in Miami Lakes, FL.
