Office of the President - Executive Assistant and Project Manager Classification Title: Administrative Full Time (.75-1.0 FTE) Benefits Eligibility: Benefits Eligibility Department: Office of the President Job Description: The Executive Assistant and Project Manager provides critical operational and administrative support for the Office of the President. This role involves working directly with the Director of the Office of the President and Strategy on a wide variety of administrative and executive duties, special projects, and initiatives aligned with the Office of the President and the Hope Leadership Team. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively. Responsibilities include managing the Presidents schedule, organizing meetings, coordinating the daily operations and special projects, addressing questions, concerns, issues, and requests on behalf of the President, as well as preparing communications and special correspondence. Responsibilities: Serve as a member of the Office of the President team. In collaboration with the Director, set agendas, identify priorities, and prepare briefs for meetings. Implement special projects and initiatives for the Office of the President Responsible for coordinating meetings and communications for the Office of the President Maintain the calendar for the President and ensure strategic use of time and resources. Serve as the main contact person for all internal meeting requests, changes, and cancellations. Triage mail and email, assist in identifying priority follow-up, prepare correspondence, and respond on behalf of the President Record constituent communications in Raisers Edge Assist in travel arrangements for the President Serve as the point person for all incoming phone calls for the Office of the President Manage expense reports, invoice processing, annual dues and memberships, and other internal forms requiring the Presidents review and approval Coordinate team-building activities for the Office of the President and Hope Leadership Team Establish relationships and coordinate engagement efforts with campus organizations, departments, divisions, and external partners Support the development of speeches, presentations, reports, and talking points for the President Other duties as assigned Qualifications: Demonstrates exceptional accuracy and attention to detail in all tasks Exhibits outstanding writing abilities, including strong composition and grammar skills Possesses excellent communication and public relations skills Capable of handling confidential matters with discretion Proficient in Microsoft Word, Excel, and PowerPoint Skilled at multitasking and managing multiple projects simultaneously Self-motivated and able to work independently without supervision Committed to understanding and supporting the mission of Hope College Holds a mature understanding of the Christian faith Physical Demands: This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
