Represents executive and department to the public, employees, and students. Establishes priorities for inquiries; brings inquiries to resolution and/or delegates appropriately to ensure proper handling.Oversees planning unit administrative processes and coordinates internal and external communications.Coordinates multifaceted calendar of appointments including the determination of appropriate meeting length, location, and participants.Coordinates or completes special projects. Represents executive in meetings and/or committees. Acts in the absence of administrator to perform high level administrative duties.Researches and analyzes complex problems and provides recommendations for resolution.Develops and monitors protocol for handling and maintaining confidential materials.Prepares and monitors budget and other financial documents for a planning unit. Maintains accountability for budget expenditures. DEPARTMENT SPECIFIC JOB RESPONSIBILITIES: The primary purpose of this position is to provide executive support for the Dean of Students, as well as supplemental support for the additional staff that report to the dean. This position handles a variety of situations and makes quick decisions to problem solve critical campus incidents and refer appropriately. This individual must be able to work smoothly in a fast-paced office environment with frequent interruptions and have a high level of emotional intelligence to deescalate crises situations, as well as have a level of cultural competency to make sure all people's identities and perspectives are welcomed in the office. Prioritizes, coordinates and manages daily activities for the Dean of Students Office. This includes complex problem solving, facilitating management of highly sensitive student issues, and clearly communicating with campus stakeholders including students, parents, faculty and staff.Manages office student staff including hiring, supervision, training and performance evaluations of 5-7 students.Special support for multiple departmental/division level priorities including strategic planning support, event planning/coord/support, and conducts inquiries and troubleshoots issues and concerns for Dean's office executives as needed.Oversees and manages travel and finances for Dean of Students suite. Processes requests for payment and billing authorizations, audits and approves purchases, prepares monthly reporting and reports discrepancies as needed.Needs strong organizational skills, including attention to detail, prioritizing tasks, and multi-tasking, in addition to knowledge of Microsoft Office, Outlook calendaring, and other university systems. Minimum Qualifications: Knowledge of technical and practical administrative concepts, processes, and methods typically obtained by a high school degree or GED or equivalent and a minimum of 5 years administrative support experience. An equivalent combination of education, training, and experience is acceptable.Preferred Qualifications: Bachelor's Degree (Education, Social Science, Business).
