Job Description :

Seeking an Assistant to the Executive Director to report directly to the Executive Director and provide executive support. The Executive Assistant serves as the primary point of contact for the Executive Director and a liaison with the Trustees. The Executive Assistant must be creative and enjoy working within a mission-driven, results-driven, and community-oriented environment. The ideal individual will be able to exercise sound judgment in various situations. The individual will possess strong written and verbal communication and organizational and administrative skills. The ability to balance multiple priorities and ensure they are addressed timely. The Executive Assistant Must be able to work under pressure while handling issues with professionalism and confidentiality.

Principal Responsibilities:

  • Provide Comprehensive support services to the Executive Director, ensuring outstanding communication and responsiveness
  • Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, and make judgments and recommendations to ensure smooth day-to-day engagements.
  • Support the Executive Director with external and internal communication.
  • Conducts research and analysis on issues of interest to the Executive Director
  • Support and manage a high volume of requests and projects to meet the objectives of the Executive Director
  • Manage all scheduling and travel logistics for the Executive Director
  • Prepare and edit correspondence, presentations, reports, and memos.
  • Complete Expense reports and manage correspondence with vendors
  • Support the Executive Director in Strategic communication, organizational strategy, and all other special projects assigned.
  • Organize meetings and events, retreats, various Board meetings, and other logistics
  • Serve as a liaison to the Trustees
  • Maintain quality filing and communication systems, including contract management, document management, and archiving
  • Support the Executive Director with Donor/Fund relations
  • Assist in other administrative tasks as needed

Qualifications:

  • Education: Associate degree and or 3-5 years of related work experience
  • Familiarity with non-profit sector
  • Strong interpersonal skills, with the ability to take initiative, multi-task, be a team player, be flexible, adapt to shifting priorities, and prioritize work.
  • Excellent communication skills, both written and verbal
  • Demonstrated writing and analytical skills
  • Excellent organizational skills, commitment to accuracy, and attention to detail
  • Ability to access a wide range of sources and networks for information
  • Good judgment and ability to function independently
  • Good working knowledge of all Microsoft Office applications and social media web platforms
  • Ability to handle sensitive and confidential situations with diplomacy
  • Highly experienced in electronic communication.
  • A Notary Public is desired, or the Notary Public examination is achieved after being hired
