Job Description The University of Missouri School of Medicine's Department of Obstetrics, Gynecology, and Women's Health is seeking a highly organized and proactive Executive Assistant to provide essential support to the Department Chair. This role requires a detail-oriented individual who can manage complex scheduling, coordinate departmental activities, and facilitate effective communication across campus, ensuring the smooth and efficient operation of the department. The ideal candidate will demonstrate professionalism, discretion, and the ability to manage multiple tasks in a fast-paced, collaborative environment. Executive Assistant to the OBGYN Department Chair and administrative support to the Department Administrator. Focused on enhancing productivity and operational efficiency, manages and maintains the Chair's calendar, schedules meetings, and coordinates related logistics. Answers incoming telephone calls and greets visitors who arrive to meet with the Chair. Prepares and drafts complex documents such as forms, memos, letters, and presentations for both internal and external audiences, ensuring accuracy through proofreading for grammar, spelling, and formatting. Manages the faculty promotion and tenure process, collaborating with the Department Chair on key decisions and overseeing documentation and deadlines. Drafts meeting agendas, attends meetings, and takes detailed minutes for distribution. Organizes and coordinates department events (e.g., holiday parties, faculty retreats, recognition banquets) in alignment with budgetary guidelines. Facilitates the annual faculty evaluation process. Reviews MFM call schedules to identify potential conflicts with the Chair's calendar and resolves scheduling issues. Backup support for: credentialing/privileging, appointment/reappointment, license renewal, and annual mandatory requirements. Assists with the ordering and return of lab coats as needed. Make purchases for administration office. Willingness to occasionally adjust work hours outside of the standard Shift Shift Type: Monday - Friday, 8:00 a.m. to 5:00 p.m. Flexibility for Alternative Schedules: Yes Minimum Qualifications Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
