The opportunity
Teva Pharmaceuticals USA, Inc.'s Legal Department is seeking a professional Executive Assistant to support multiple leaders in a multi-functional, matrixed, fast-paced and diverse multicultural environment. This is an exciting opportunity to grow your career cross functionally within a global pharmaceutical company. This highly visible position serves as the primary administrative liaison with members of senior management and internal and external stakeholders through his/her support of Teva's Chief IP Counsel and others in the IP and Litigation Groups. The successful candidate must be able to work in a team environment while managing multiple tasks independently, and maintaining confidence and diplomacy.
The role may require availability during nights and weekends for scheduling, travel, and other critical needs.
How you'll spend your day
* Proactively manages complex calendars with competing priorities to keep the attorneys and their teams abreast of schedules and ensures attorneys have the necessary information to effectively navigate through their day.
* Coordinate meetings/appointments and proactively resolves conflicts. Handles all organizational and administrative matters relating to meetings/appointments, including booking meeting rooms and ensuring room is appropriately equipped, arranging catering, gathering supplies, etc.
* Coordinate travel with key stakeholders globally working through different time zones and liaison with individual through global locations.
* Calendar, email, expense management -Administrative support to include managing MS Outlook (email, calendar management), travel arrangements, expense reporting, preparing drafts of correspondence, preparing spreadsheets and presentations, handling mail, filing, ordering supplies.
* Creates high quality PowerPoint presentations and Excel spreadsheets.
* Assembles, compiles and maintains data, with capability to do basic internet research as required for regularly scheduled reports and presentations and ad hoc projects.
* Responds to telephone, email and in-person inquiries providing general information and referring inquiries to appropriate sources based on a broad knowledge of the company.
* Candidate must possess excellent communication skills, be highly organized, have the ability to work independently.
* Manage confidential information flow within the organization, exercising a high level of discretion.
* Recommends process improvements where applicable.
* Additional tasks and projects as requested.
Your experience and qualifications
Education
Required: High School Diploma or equivalent
Preferred: Bachelor's Degree
Experience
* Minimum five years' experience as an Executive Assistant supporting multiple leaders in a multi-functional, matrixed, fast-paced and diverse multicultural environment is required.
* Demonstrated ability to work independently under time constraints, manage competing priorities and deadlines and handle multiple tasks efficiently.
* Advanced computer skills required (Microsoft Outlook, Word, Excel, PowerPoint), Concur Travel and Expense, Internet/Intranet and SharePoint.
* Prior event planning skills and experience.
* Demonstrates ability to take ownership, initiate and establish priorities, anticipate needs, and handle multiple tasks simultaneously under demanding time constraints, with minimal direction, to deliver on commitments and deadlines.
* Demonstrates high attention to detail with excellent organization and planning skills along with proven ability to take ownership and drive results.
* Demonstrates strong interpersonal and communication skills (both verbal and written) to effectively work in a team environment and interact positively and respectfully with internal/external contacts at all levels and generate effective and professional business communications.
* Flexibility to adjust schedule according to business demands.
