We are seeking a forward-thinking Executive Assistant to support the CFO and General Counsel of a cutting-edge and global technology company. This pivotal position involves providing comprehensive support to the CFO and General Counsel ensuring seamless interactions and facilitating productive engagements within and outside the organization. This is a temp to hire position with a hybrid schedule. Salary: $90,000-$110,000 DOE.
The ideal candidate will have Executive Assistant experience to C-suite executives from a technology related organization. Proven experience supporting busy executives with calendaring, travel arrangements and meeting planning/coordination is required.
PRIMARY RESPONSIBILITIES:
- Provide complex administrative support for the CFO, General Counsel and associated department heads as needed.
- Anticipate the needs of the executives and proactively address issues or concerns before they arise.
- Act as the primary point of contact between the executives and internal/external stakeholders, demonstrating professionalism and diplomacy in all interactions.
- Management of diverse tasks fostering positive and efficient interactions with clients and other stakeholders.
- Serve as a liaison between various executive team members, ensuring clear communication and coordination of efforts.
- Prepare and edit correspondence, presentations, reports, and other documents as needed.
- Proficiency in MS Office, particularly Excel, along with excellent verbal and written communication skills, is essential.
- Coordinate complex schedule and calendaring for board meetings, prepare notices, agendas, and minutes.
- Coordinate virtual meetings, technology set-up and manage logistics.
- Facilitate meetings, document proceedings, ensuring follow-up on action items.
- Coordinate electronic and equipment required for web and conference meetings; manage invites to the appropriate personnel.
- Maintain documents, files, and policies or procedures.
- Prepare reports or presentations with minimal direction.
- Coordinate executive outreach and external relations initiatives.
- Handle confidential information with discretion and maintain strict confidentiality at all times.
- Perform other duties as assigned.
SKILLS AND QUALIFICATIONS:
- 7-10+ years' experience in an Executive Assistant to C-Suite.
- Bachelor's degree required. Postgraduate degree preferred.
- Technology industry experience preferred.
- Advanced with MS Office - Word, Outlook, PowerPoint, Access, and Excel.
- Excellent Oral and Written Communication.
- Strong interpersonal skills and the ability to build relationships with stakeholders.
- Experienced in managing Executive Calendars and Scheduling across global time zones.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent problem-solving skills and the ability to think critically.
