EDUCATION AND WORK EXPERIENCE
  • 2-year college degree in related field preferred. A combination of work experience, training and education will be considered in lieu of educational requirements.
  • Minimum 5 years' administrative assistant experience required.
  • Prior banking experience preferred.
  • Basic background in accounting or related functions preferred.
SKILLS AND QUALIFICATIONS

  • Basic math skills.
  • Computer knowledge and general office equipment knowledge required.

ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
  • Perform a variety of administrative and executive support tasks for the President & CEO and executive management, which may be highly confidential, sensitive or of a technical nature.
  • Coordinate and facilitate executive calendars to arrange appointments, meetings, and conferences.
  • Screen incoming calls and determine the level of priority while maintaining professionalism and confidentiality.
  • Read and screen incoming correspondence and reports, make preliminary assessments of the importance of materials and organize documents, handle some matters personally and forward materials to appropriate team members. Screen visitors and vendors for executive purposes.
  • Build and maintain familiarity with our commercial clientele.
  • Responsible for physical flow of paperwork within the department, including filing, handling and dispersing incoming and outgoing mail and packages, in addition to updating records and compiling reports.
  • Manage the coordination and logistics of both internal and external meetings.
  • Arrange and coordinate travel, prepare itineraries, prepare and compile travel vouchers, maintain travel records and prepare and maintain expense reports.
  • Compose letters, memoranda, and emails in response to incoming mail, emails, calls or direct requests from Executive Leadership. Compose and direct written communication. May act as liaison to exchange information; transmit directives, instructions, and assignments; and follow up on status of assignments upon request of Executive Leadership.
  • Prepare agendas and collect materials for meetings, speeches, and conferences; take minutes and keep records of proceedings as required. Provide in-meeting support where necessary, such as setting up video conferencing and sharing presentations.
  • Collaborate with management to document strategic plan initiatives and progress.
  • Manage or assist in managing projects for department and/or executive leadership.
  • Compile and maintain records, statistical information, and reports. Prepare financial data and reports.
  • Maintain adequate knowledge of core computer systems for reporting and research purposes.
  • Collaborate with Marketing, Human Resources, and other departments on publication of company newsletter.
