May also provides high-level support on behalf of the President for cross-functional, collaborative work and special projects as they arise.Key ResponsibilitiesCalendar management: • Scheduling appointments, meetings, and travel arrangements for President. • Manages and coordinates the Presidents calendar and prepares them for upcoming day's work.Communication management: • Answering phone calls, directing inquiries, and managing email correspondence. Document preparation: • Drafting letters, memos, reports, presentations, and other documents. • Provides accurate and timely handling of various reports, record keeping, and oral and written correspondence.File management: • Maintaining organized filing systems, both physical and digital. Meeting coordination: • Preparing agendas, taking meeting minutes, and distributing meeting materials. • Organizes and manages agendas, pre-work, logistics for meetings and events, including corporate meetings.Travel arrangements: • Booking flights, hotels, and transportation for business travel. • May assist executive team with travel bookings on various occasions.Data entry: • Inputting information into spreadsheets and databases. Other duties: • Greeting visitors and directing them to the appropriate person. • Provides excellent customer service when fielding questions and requests from direct reports and executive team. • Ensures key staff members are informed and included in key decision-making.Qualifications: • 2+ years of executive or administrative assistant experience or similar work experience • Excellent and concise verbal and written communication skills • Ability to produce high quality work with short deadlines and numerous interruptions • Ability to maintain confidentiality • Good problem-solving skills and attention to detail, ability to anticipate needs • Polished and professional demeanor in person, online, and via phone • Highly organized • Flexible, congenial work style, team player • Excellent communication skills, both written and verbal • Strong organizational and time management skills • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) • Attention to detail and accuracy • Ability to multitask and prioritize tasks • Professional demeanor and customer service skillsInterested in hearing more?
