Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis. FLSA StatusNon-Exempt#AHJob Role SummaryReporting directly to a Vice President, Associate Vice President, or Administrative Director, this position is responsible for providing a variety of senior level administrative support that may be moderate to complex in nature. The Executive Assistant proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County; and models Eskenazi Health's values of Professionalism, Respect, Innovation, Development and Excellence.Essential Functions and ResponsibilitiesCoordinates travel arrangements, manages calendars/meetings, submits expenses, and provides advanced administrative supportPrepares, reviews, submits and tracks Executive's reports and requestsMaintains office systems, including filing, data management, etc.Serves as liaison to other departments, staff, vendors, and suppliersPrepares meeting materials including leading and assisting with creating presentations, spreadsheets, handouts and other related materialsCommunicates effectively with external and internal customers, participating in special projects and other tasks, as neededOrganizes, maintains and procures office suppliesUpdates and maintains office policies and proceduresMay create requisitionsSorts and distributes daily mailJob RequirementsBachelor's degree in business administration, or a related field with two years office administration, or related experience OR in lieu of degree, six years directly related administrative support experienceStrong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detailExcellent communication and organizational skillsProven ability to handle confidential information with discretionAbility to work in a fast-paced environmentStrong attention to detailDemonstrated ability to achieve high performance goals and meet deadlines.Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms Accredited by The Joint Commission and named one of the nation's 150 best places to work by Becker's Hospital Review for four consecutive years and Forbes list of best places to work for women, and Forbes list of America's best midsize employers' Eskenazi Health's programs have received national recognition while also offering new health care opportunities to the local community.
