Executive Assistant Opportunity

The Executive Assistant will provide high-level administrative support to the CEO, managing schedules, coordinating meetings, and ensuring smooth day-to-day operations. This role requires discretion, initiative, and the ability to manage a range of administrative tasks in a fast-paced environment.

Key Responsibilities:

  • Calendar Management: Maintain and organize the executive's calendar, schedule appointments, and coordinate meetings, both internal and external.
  • Travel Arrangements: Coordinate complex travel itineraries, including flights, hotels, transportation, and related logistics.
  • Communication: Manage incoming and outgoing communications, including emails, phone calls, and correspondence. Draft and edit memos, reports, and presentations.
  • Meeting Coordination: Prepare agendas, take minutes during meetings, and follow up on action items. Organize meeting materials and presentations.
  • Project Management: Assist with the coordination of special projects, ensuring timelines are met and tasks are completed.
  • Expense Reporting: Process and track expense reports, invoices, and other financial documents.
  • Confidentiality: Handle sensitive and confidential information with professionalism and discretion.
  • Relationship Management: Act as a liaison between the executive and various stakeholders, both internal and external.
  • Event Planning: Organize corporate events, meetings, and other executive functions as required.

Qualifications:

  • Education: Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Experience: Minimum of 5 years of experience in a similar role supporting C-level executives.
  • Skills:
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Highly proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Must be able to organize slide decks.
  • Familiarity with calendar management tools (e.g., Outlook, Google Calendar).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Attention to detail and a proactive attitude.
  • Discretion and the ability to maintain confidentiality.

Preferred Qualifications:

  • Previous experience in an executive-level support role.

Work Environment:

  • This is an office-based role.
  • May require extended hours based on CEO needs and deadlines.
