EXECUTIVE ASSISTANT TO CEO – IN OFFICE IN DOWNTOWN LOS ANGELES

Base Salary: $110K-$130K (DOE) + bonus and benefits

A private equity firm is seeking an experienced Executive Assistant to support the CEO. You will provide critical support in managing complex schedules and heavy travel arrangements, including occasional personal errands. If you thrive in high-stakes environments and are skilled at anticipating needs, this is an exciting opportunity to contribute to a top-tier firm.

To be considered, you MUST:

  • Have a bachelor's degree
  • Have reliable transportation to run occasional errands
  • Have 5+ years of C-suite executive support experience
  • Be able to work in-office in Downtown Los Angeles (overtime is required)

Key Responsibilities:

  • Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and prioritizing tasks
  • Make complex travel arrangements, with an emphasis on booking private jet travel, including itinerary management, ground transportation, accommodations, and other logistics
  • Coordinate and prepare meeting materials, ensuring executives are well-prepared and all details are in place
  • Handle confidential information with discretion and professionalism
  • Act as a gatekeeper, managing incoming calls, emails, and requests to ensure efficient time management for the CEO
  • Liaise with internal and external stakeholders, maintaining a high level of professionalism in all communications
  • Assist with event planning and execution for company meetings, conferences, and off-site events
  • Manage and track expenses, prepare expense reports, and ensure timely processing
  • Support in creating presentations, reports, and other documents as needed
  • Order lunch, plan personal travel, and run errands as required

Qualifications:

  • 5+ years of experience as an Executive Assistant, preferably in private equity, finance, or a fast-paced professional environment
  • Bachelor's degree required
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication skills, both written and verbal
  • High level of discretion and professionalism in handling sensitive information
  • Ability to anticipate needs, take initiative, and remain calm under pressure
