Overview
A highly successful Motion Picture & Television company located in Century City is seeking an Executive Assistant to the Founder. This position is responsible for providing a high level day-to-day administrative support.
Responsibilities to include, but not limited to:
- Manage executives' calendar and schedule meetings, follow-ups, and confirmations, both internal and external, for various time zones.
- Monitor incoming calls and roll calls as needed.
- Anticipate needs and provides administrative support to the executive.
- Generate and distribute materials emails as needed.
- Oversee all aspects of executives travel coordination, including booking flights, accommodations, and transportation with travel agent, while fostering relationships with hotel management to ensure seamless arrangements that meet the principal's needs.
- Monitor and analyze industry trends, delivering timely updates on entertainment news and broader cultural developments to keep the executive well-informed.
- Maintain any files, contacts, including confidential and critical documents.
- Manage incoming mail and prepare outgoing correspondence.
- Process any health claims or expense reports as needed.
- From time to time provide insightful feedback on creative materials, including books, scripts, and films, to support content development and decision-making.
- Other ad hoc duties/special projects as assigned.
- Ability to practice confidentiality, privacy and use discretion.
Qualifications:
- 4+ years of assistant experience, for an executive level at an entertainment company preferably motion picture.
- Strong interpersonal and communication skills.
- Ability to assess and determine priorities.
- Must be able to perceive when an issue is sensitive and handle appropriately.
- Experience and knowledge of the entertainment industry.
- Ability to prioritize, manage, and track multiple tasks and action items simultaneously.
- Highly organized, proactive, and resourceful with problem-solving skills and a sense of accountability.
- Ability to self-motivate and work independently, follow-up as needed, and see matters through to completion.
- Maintain a high level of discretion, confidentiality, and professionalism.
- Interact with all levels
- Must remain flexible, adaptable, and efficient and anticipate the needs of the executive.
- Proficient in Microsoft Office
