The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Responsibilities
- Assist in project coordination by tracking deadlines, deliverables, and progress on various initiatives.
- Provide comprehensive administrative support to executives, including managing schedules, coordinating meetings, and handling correspondence.
- Transcribe meeting notes and prepare reports as needed to ensure clear communication within the team.
- Draft slides, meeting notes and documents for executives
- Maintain an organized filing system for documents, both physical and digital, ensuring easy access to important information.
- Perform data entry tasks accurately and efficiently to keep records up-to-date.
- Utilize Microsoft Office for document creation, spreadsheets, presentations, and calendar management.
- Support personal assistant duties as required, including travel arrangements and personal scheduling for executives.
- Ensure compliance with company policies regarding document management using tools such as DocuSign for electronic signatures.
Qualifications
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
