Client: International Law Firm Role: Executive Assistant - Corporate Team Salary: $85,000 - $120,000/annuallyLocation: New York City - On-siteAbout the Role: An international law firm seeks a Professional Executive Assistant for its Corporate team. This role involves specialized secretarial and administrative duties, ensuring client satisfaction and supporting firm initiatives.Responsibilities:
- Manage attorney's inbox, calendars, contacts, mail, and client files. Handle incoming electronic files and determine appropriate actions.
- Adhere to the firm's policy for managing client files, both electronic and hardcopy. Ensure proper labeling, storage, and timely closing of files.
- Coordinate with attorneys to store client materials in iManage. Provide support for managing electronic files and promote a paperless environment.
- Create, proofread, and edit legal documents. Draft transmittal letters and standard memoranda, ensuring all materials meet firm standards.
- Arrange conference calls, manage schedules, provide telephone coverage, and respond to client inquiries.
- Schedule appointments, coordinate meetings, reserve conference rooms, arrange teleconferencing, and handle travel arrangements. Prepare expense reimbursements and follow firm policies.
- Participate in training, apply technologies to tasks, and provide training to staff and lawyers. Develop and maintain virtual workrooms for clients.
- Perform assigned special projects.
Qualifications:
- High school diploma required; college degree preferred.
- Minimum three years of legal secretarial experience, preferably in a law firm.
- Proficiency in Microsoft Office, PDF, iManage, and other firm software.
- Accounting aptitude and experience with client accounting reports preferred.
- Accurate typing, strong word processing skills, familiarity with legal terminology, attention to detail, excellent communication skills, problem-solving initiative, ability to work under pressure, and flexibility for overtime.
