Investment firm in NYC is seeking an Executive Assistant/Office Manager to join their organization. The ideal candidate will have 5-7 years of experience in a similar role, preferably within financial services or the legal field.
95K - 110K base plus bonus
4 days on-site, 1 day remote
9am - 6pm
Responsibilities:
- Support daily operations of the office
- Screen and respond to incoming calls and correspondence, act as gatekeeper
- Provide high level administrative support by proactively assisting and anticipating senior managements needs
- Manage executive calendars including scheduling appointments, reservations, and meetings
- Create and manage all travel itineraries including ground transportation, flights, and hotels; process and submit related expense reports
- Keeping track of to-do list, call list, reminders and deadlines
- Coordinate and prepare all in-person, virtual, and over-the-phone meetings including setup, breakdowns, etc.
- Prepare and distribute agendas, letters, reports, presentations, and other communications including confidential documents
- Provide reception and administrative coverage and assist on ad-hoc projects when needed
Requirements:
- Bachelors Degree
- Minimum of 5 years experience, financial services or legal experience preferred
- Highly organized and able to prioritize multiple tasks while maintaining high attention to detail
- Strong problem-solving skills and ability to exercise sound judgment with minimal supervision
- Must exhibit exceptional written and verbal communication skills
- Possess high-level customer service skills while providing a warm and enthusiastic demeanor
- Advanced proficiency in MS Office including Word, Excel, and PowerPoint
