The ideal candidate possesses strong decision making and problem-solving skills and the ability to build trust while managing highly sensitive and confidential information.   • Perform a variety of advanced administrative duties, prioritize and manage multiple tasks, often with short lead-time
  • Proactively manage executive calendar while balancing needs across various stakeholders and coordinating meetings to optimize time, allowing leaders to work most efficiently, adjusting as needed based on changing priorities, serving as gatekeeper for incoming meetings
  • Manage matters of a highly confidential nature
  • Schedule domestic and international travel arrangements, including coordinating with travel agencies, other Carrier locations, and customers globally; provide detailed itineraries, ensure work/travel visa compliance and manage short notice changes which can occur when the leader is traveling
  • Prepare and electronically submit accurate expense reports, aligned with company policy and reconcile corporate credit card charges
  • Manage meetings with internal staff and outside vendors, including coordination of conference rooms, needed equipment, refreshments, greeting invitees and obtaining security clearance
  • Analyze complex information requests and determine appropriate approach to gather and summarize needed data
  • Consolidate reports and materials for meetings and customer visits
  • Research, draft and prepare memos, reports and presentations
  • Process payments to external vendors including setup and monitoring
  • Screen visitors, mail, and telephone calls, handling and/or redirecting as needed
  • Carry out special assignments that can be complex in nature, require problem solving, and working with others, while maintaining confidentiality
Required Qualifications
  • High School Diploma
  • 8+ years administrative support experience in a corporate environment
Preferred Qualifications
  • AA/AS degree or other 2 year post high school training
  • Proficiency in Microsoft Word, PowerPoint, Excel and Outlook
  • Professional demeanor/presence, able to maintain confidentiality
  • Capacity to work with urgent deadlines, changing priorities and manage multiple high-priority assignments simultaneously
  • Positive experience working in teams, ability to build rapport and influence outcomes
  • Self-motivated with ability to exercise initiative and work independently
  • Proactive in problem solving and resilient in nature
  • Attention to detail, while maintaining a sense of urgency and customer mindset
  • Outstanding written and verbal communication skills
  • Familiarity working across global locations and time zones preferred
