DescriptionCFCU Community Credit Union (CFCU) is seeking an experienced Executive Assistant who in collaboration with and under the directions of the Chief Risk Officer/General Counsel (“CRO/GC”) will provide administrative and organizational support for the Legal Department and for overall legal and regulatory needs of the Credit Union. Duties require high energy and an independent work initiative with excellent organizational skills and a keen ability to problem solve. This individual must possess the ability to communicate effectively with all levels of the organization and focus upon completing diverse set of tasks independently.Responsibilities:Complaint Management: Manages all incoming complaints received through either external or internal reporting methodologies. This includes but is not limited to Better Business Bureau, NYS DFS, NYS Attorney General's Office, Contact Us portal, letters to the Supervisory Committee, the Executive Team including CEO, and escalated complaints from other internal Credit Union staff. Managing means:Logging and tracking complaints and their status within the Complaint Management log which is maintained on a regular basis.Assisting CRO/GC or Associate Attorney in researching all complaints against member account information, organizational policies and procedures, collaborative investigation with any other departments as appropriate, and with outside counsel as may be required.Assisting with the drafting of complaint responses for review by CRO/GC or Associate Attorney. This includes the use of appropriate citations for regulatory and statutory guidance and creating appropriate Exhibits with appropriate and accurate redaction.May directly communicate with complainants via email, written or telephone contact as appropriate.Creating reporting dashboards.Contract Review: Manages all proposed contracts, including but not limited to vendor agreements, SLAs, SOWs, property leases, terminations and NDAs (collectively “Contracts”) as presented by staff/vendor relationship owners. Managing means:Logging and tracking Contracts within the Contract Log which is maintained on a regular basis.Assisting with delivering and tracking Contracts reviewed by outside counsel.Assisting with obtaining additional information from staff/vendor relationship owners to assist with contract review by CRO/GC or Associate Attorney.Ensuring that the Legal and Compliance Departments are in receipt of copies of all executed Contracts. Maintaining same in Legal Department records.Creating agenda for Contract Review meetings which includes new and outstanding items.ERM: May provide assistance and support to AVP of Business Resiliency conducting and scheduling ERM assessments. This may include participating in the risk review for all areas of the Credit Union, assisting with assessment of values assigned to each risk, compiling collected data from each department and area, and refining data for digestible tracking, monitoring and reporting.Auditors/Regulators: Assisting CRO/GC and the organization at large to communicate with regulating entities and auditors. This may include during annual exams and reviews conducted by auditors and examiners. This includes assisting the CRO/GC with responses from the Legal Department, assisting with the tracking of organizational responses, and ensuring prompt and timely response.Conflict of Interest: Distributing, collecting, tracking, and archiving Conflict of Interest forms provided to all staff annually and to all new onboarding employees. Reviewing forms to note any reported conflict of interest requiring review.Insurance: Assisting CRO/GC and Associate Attorney with maintaining the organization's relationship with its insurance coverage provider. Acting as gatekeeper for any insurance needs and questions. Participating fully in the RFP process on a 3-year cycle, including the preparation of the RFP and reviewing the responses thereto.Outside Counsel: Assisting CRO/GC with maintaining the organization's relationship with its outside counsel. Acting as gatekeeper for any legal needs and questions directed to any outside law firm. Directing invoices to the appropriate departments and ensuring appropriate billing.Credit Union Properties: Representing the credit union and managing communications with outside partners regarding CFCU properties. This includes but is not limited to owners of leased facilities, attorneys, property management vendors, realtors representing credit union properties, architect and construction firms, and utility workers. Guiding related requests, needs or requirements to appropriate departments or internal contacts, and collaborating with same as needed.Provide additional assistance and perform other duties as assigned by CRO/GC including but not limited to:Credit card statement reconciliation for CRO/GC and all reporting staff,Board (BOD) related items (e.g. policies, memos, reporting, dashboards and strategic goals),Meeting agendas and follow-up tracking, andTravel arrangements, calendar scheduling, conferences.Desired Skills:Three or more years of similar or related experience.Equivalent to a high school education.Strong communication skills, both written and oral.
