ROLE SUMMARY
This role is responsible for providing executive-level administrative support to the Chief Human Resources Officer and members of the HR leadership team to ensure that the function runs smoothly. In addition to responsibilities in support of Human Resources, this role with partner with other administrators within the Executive Office to ensure appropriate support and coverage for the executive leadership team of the health system.
CORE ACCOUNTABILITIES
Executive Support for CHRO and HR Leadership Team
- Serve as the first point of contact and representative of the CHRO in a manner consistent with UC Health's core values and aligned with the expectations of the CHRO.
- Provide administrative support including items such as calendar management, meeting scheduling, travel/expense support, and document preparation for the CHRO.
- Work closely with other administrative support within HR to ensure appropriate support and coverage for the HR leadership team, with a focus on the VP of Talent, but in support of other members of the HR leadership team.
- Serve as a proactive problem solver by identifying potential issues or conflicts and working to find appropriate solutions.
- Organize and manage various HR meetings, including scheduling, agenda preparation, and follow-up action items; ensure materials are prepared in advance and assist with presentations as needed.
Administrative and ProjectSupport for Human Resources
- Serve as the senior-most administrator with the HR function, helping organize and support staff meetings, offsite events, learning/training events, etc.
- Manage and/or participate in select HR-related projects and/or activities in support of the CHRO such as HR All Hands, HR events, expense management, document management, and related activities.
Partnership with other Executive Administrators
- Partner with other executive administrators to ensure appropriate coverage and support of the executive leadership team (ELT) including serving as a back-up for other administrators, supporting ELT events and/or projects, and other relative activities.
- Engage in tasks such as order supplies for the ELT, providing front desk coverage, serving as a back-up for peers during absences, placing/managing catering orders, and acting as a collaborative team member to ensure that the executive leadership team runs as smoothly as possible.
- Serve as the primary administrator for the Compensation Committee, working closely with the CHRO and VP, Total Rewards. Engage in activities such as posting documents, communicating with committee members, scheduling meetings, ordering meals, and other related activities.
- Provide support for board and sub-committee meetings as requested.
- Manage all tickets for UC Health including University of Cincinnati and external ticketholdings.
DESIRED TRAITS AND QUALIFICATIONS
- Bachelor's degree in business, human resources or a related field preferred.
- 5 years of administrative support experience, at least two of which at a senior level, requiring a heightened level of professionalism and discretion.
- Demonstrated confidentiality and excellent judgment.
- High level of judgment and problem-solving. Ability to assess and make recommendations to the CHRO.
- Strong verbal and written communication skills.
- Approachable style with the ability to effectively say no or redirect.
- Outstanding interpersonal skills and demonstrated ability to interact effectively with all levels of the organization with professionalism.
- Demonstrated ability to build relationships in a variety of environments.
- Flexible with a continuous improvement mindset…desire to make things better and improve processes and efficiency.
- Strong skills with Microsoft Office (Outlook, Word, Excel PowerPoint).
- Demonstrated ability to learn new systems and developing and improving recruitment and onboarding processes to reduce cost and maximize efficiency.
