From a chain of successful, multi-branded retail stores, to two bi-coastal B2B and D2C global distribution and fulfillment centers, to the creation and go-to-market strategies for a host of proprietary brands, and property management.We are seeking a highly organized and proactive Executive Assistant to support our Chief Operating Officer (COO). This role requires a dynamic individual who can manage a wide range of executive and personal tasks with a high level of professionalism, efficiency, and confidentiality.Essentials Functions:
  • Provide high-level administrative support to the COO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare reports, presentations, and documents for meetings, ensuring all materials are accurate and professionally presented.
  • Act as a liaison between the COO and internal/external stakeholders, ensuring effective communication and timely responses.
  • Handle personal errands and household duties for the COO, including managing household staff, scheduling appointments, and coordinating family events.
  • Oversee the COO's personal calendar, ensuring all personal and professional commitments are seamlessly integrated.
  • Assist with special projects as assigned by the COO, including research, event planning, and project coordination.
  • Track and follow up on various tasks and projects, ensuring timely completion and reporting any delays or issues.
  • Organize and coordinate meetings and special events, including scheduling, logistics, and agenda preparation.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain a high level of professionalism in all interactions, both internal and external.
  • Other duties as assigned.
Requirements
  • Proven 5+ years of experience as an Executive Assistant, Personal Assistant, or similar role.
  • Strong organizational and time-management skills with the ability to prioritize tasks and work independently.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion and integrity.
  • Flexibility and adaptability to changing priorities and demands.
