Executive Assistant to the Assistant SuperintendentThe Attleboro Public Schools is seeking a highly skilled executive assistant to the Assistant Superintendent. The Executive Assistant is responsible for managing and coordinating the day-to-day administrative work performed in the Office of the Assistant Superintendent. Working with minimal supervision, the Executive Assistant will perform duties of a varied and responsible nature, requiring accuracy, good judgment, extreme confidentiality, and the ability to work well with people under pressure.Job Goal: To serve as a confidential executive assistant, perform a variety of clerical duties, and prepare tasks which are an extension of the Assistant Superintendent's responsibilities.Qualifications:
- Prefer a minimum of three years or more office experience, preferably in a public school.
- Possess a thorough knowledge of and familiarity with technology, electronic equipment, and software applications and operations.
- Proficiency in the use of Microsoft Office (Word, Access, Excel, and PowerPoint), Google Suite, and willing to learn new software programs as needed.
- Experience using Aspen, Power School Modules, and Munis is preferred.
- Ability to quickly learn new platforms adopted by Attleboro Public Schools.
- High level of professionalism and the ability to work with highly confidential and legally sensitive employee and organizational material with utmost discretion.
- Excellent verbal and written communication skills.
- A high degree of organizational and time management skills.

REPORTS TO: The Assistant Superintendent.PERFORMANCE RESPONSIBILITIES:
- Assists the Assistant Superintendent with administrative matters.
- Assists in preparing routine administrative paperwork.
- Provides information in accordance with established procedures and policies.
- Serves as liaison between the Assistant Superintendent and various stakeholders (administrators, faculty, staff, parents, community members, media, local and state government officials, etc.).
- Develops a welcoming atmosphere for the public by providing a proper decorum and environment for the Assistant Superintendent's Office and adjoining areas.
- Receives, places and screens telephone calls for the Assistant Superintendent.
- Conducts initial screening on the phone or in person with students, teachers and parents; answer questions, refer to appropriate staff member and/or schedule appointment with the Assistant Superintendent.
- Manages grants including purchase orders, staff time sheets, and monthly status summaries.
- Receives and resolve complaints as appropriate or refer matters to proper personnel.
- Composes effective correspondence independently; reference policies, rules and regulations in preparing correspondence; review and edit material prepared by others.
- Prepares confidential Title IX Grievance correspondence and maintains records for students and staff.
- Prepares Civil Rights Grievance correspondence and maintains records for students and staff.
- Assists in the coordination of the Educator Mentoring and Induction program including payment and tracking of available funds.
- Enters, monitors, and prepares reports for Professional Development in appropriate system.
- Assists with communicating professional development opportunities and requirements to administration, and staff.
- Assists in the collection of relevant information to be used in collective bargaining.
- Serves as liaison and clerical support among staff including specialist coordinators, ad hoc, and permanent committees.
- Processes, monitors, and organizes documentation for District field trips.
- Coordinates all home school processes and procedures and monitors and maintains records for all home school students.
- Assists in scheduling of interpreting and translation services and manages the budget for general education translation/interpreting requests.
- Manages all purchasing of curriculum programs and materials for District Center for Instruction.
- Assists in the management of general education summer programming including purchasing instructional and non-instructional materials and processing time sheets.
- Coordinates grant data through compilation, editing, processing, and amending.
- Coordinates all aspects of events, retreats, and large group meetings (e.g. staff recognition event, administrator retreats.
- Organizes and provide set-up and materials for a variety of administrative meetings.
- Develops techniques that allow for the collection of accurate data.
- Implements procedures related to the secure and efficient handling and sharing of data.
- Revises district-wide documents.
- Attends meetings, as required.
- Other duties and ad hoc projects, as assigned by the Superintendent.
TERMS OF EMPLOYMENT:
- Full-time twelve-month (12) work year.
- Salary negotiable and standard benefits provided.
- Annual performance and salary review by the Assistant Superintendent.
